Support Services

School Receptionist/Administrative Assistant

Reports To:Principal

FLSA Status: Nonexempt

Terms of Employment:

200 days/fulltime employment; salary paid on Administrative Support scale group 1 and work year to be established by the Board

Job Summary:

To respond to inquiries from staff and the public to provide requested information and/or referral to other parties and provide general clerical support as may be requested.

Qualifications:

  • High school diploma; job related experience required
  • Excellent verbal and written communication skills
  • Excellent knowledge and use of computer applications
  • Knowledge and use of common office equipment and machines
  • Excellent interpersonal skills

Essential Duties:

  • Handles incoming phone calls with professionalism accurately provides information receives and communicates messages to the appropriate parties and guarantees exceptional customer service.
  • Evaluates situations (e.g. involving other staff students parents visitors and any member of the public) takes appropriate action and/or directs to appropriate personnel for resolution.
  • Greets (e.g. the public parents students vendors) and responds to their inquiries and/or directs them to appropriate personnel.
  • Distributes (e.g. mail supplies messages etc) to appropriate parties.
  • Manages record keeping and performs a variety of general and programspecific clerical tasks (e.g. scheduling copying faxing) to support the administration and/or school ensuring all necessary materials are provided as needed.
  • Processes documents and materials for various departments.
  • Responds to emergency calls and notifies appropriate parties to address immediate safety issues.
  • Schedules activities (e.g. meetings work orders vendor interactions staff coverage facility usage) to support staff needs and ensure efficient use of personnel equipment and facilities.
  • Accurately inputs and updates data into various systems and databases and ensures information is current and correctly maintained.
  • Assists other personnel in providing support of the completion of their work activities.
  • Efficiently handles additional tasks and requests from the administration or guidance department to ensure timely and accurate completion.

  • Demonstrate a high level of initiative in job performance

Physical Requirements:

Requires sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a recurring basis or routine keyboard operations.

Working Conditions:

  • Generally the job requires 80% sitting 10% walking and 10% standing.
  • Requires fine finger dexterity to use office equipment office technology and maintain accurate filing systems.
  • Effectively coordinate a variety of difficult technical administrative functions at a level requiring extensive independent decisionmaking within established rules policies and procedures
  • Must regularly lift and/or move objects up to 10 pounds and occasionally lift and/or move objects up to 50 pounds.
  • May experience constant interruptions inflexible deadlines and changes to normal routines.

The performance of this job will be evaluated in accordance with the provisions of the Boards policy on Evaluation of Support Service Personnel.
