Job Description

Summary:

The Document Specialist works closely with the Finance & Insurance (F&I) team to organize verify and prepare deal paperwork for submission to the billing department and banks. This role ensures accuracy and compliance in all documents supporting a smooth and timely funding process.

Duties and Responsibilities:

  • Review and compile all required documents from the F&I team for each vehicle sale.
  • Ensure deal jackets contain all necessary paperwork for funding including contracts titles payoff info and supporting documents.
  • Doublecheck for missing signatures incorrect figures or compliance red flags before submission.
  • Maintain a checklist to verify documentation is complete and meets dealership and lender requirements.
  • Communicate with F&I managers regarding any discrepancies or missing items.
  • Submit completed deal files to the billing clerk for processing and bank funding.
  • Scan and upload deal documents into the DMS and digital filing systems.
  • Organize physical and electronic records to ensure easy retrieval and audit readiness.
  • Assist with monthend closeout by ensuring all deal files are complete and processed.
  • Support the office and F&I department with general administrative tasks related to deal compliance and documentation.

Qualifications :

  • 1 year of administrative related experience in an automotive dealership.
  • Strong attention to detail and organizational skills.
  • Familiarity with deal paperwork titling or F&I processes.
  • Ability to prioritize and work efficiently under deadlines.
  • Comfortable working with computers scanners and dealership software (e.g. CDK Reynolds & Reynolds Dealertrack).
  • Some Saturdays will be required for MonthEnd close out.
  • All applicants must be authorized to work in the USA.
  • All applicants must be able to demonstrate ability to pass preemployment testing to include background checks MVR drug test credit report and valid driver license.

Preferred Qualifications:

  • Previous experience working directly with F&I billing or title clerks in an automotive setting.
  • Understanding of lender documentation requirements and funding guidelines.
  • Experience auditing or reviewing automotive deal jackets for compliance.

 


Additional Information :

Compensation (Hourly):

  • $20.00 / hour

Schedule:

  • FULL TIME
  • 5 days a week / 2 days off
  • Sundays off
  • Some Saturdays will be required for End of Month close out
