Job Description

General Summary:

Provides daytoday management and leadership of the Community Treatment Centralized Intake Team. Schedules and supervises intake staff; develops and implements work processes; resolves problems collects and reports essential data; engages in quality assurance to ensure the department is operating within agency standards.

Principal Responsibilities and Duties:

1. Customer Relations

  • Actively seeks to provide and train assigned staff in the provision of high quality customer service that meets the needs of patients as well as other customers families referrers payers and staff.

2. Staff Supervision

  • Selects trains directs appraises performance and as necessary participates in the discipline and discharge of assigned staff.
  • Develops and monitors daily staffing schedule to ensure adequate coverage for all hours of operation.
  • Responsible for problem identification and reporting to management.
  • Assists in developing new processes and procedures for the intake department under the supervision of the Assistant Director of Operations or their designee.
  • Communicates to staff new information and process as well as quality improvement activities.

3. Data Collection/Documentation

  • Generates daily weekly and monthly reports to management regarding call volumes referral patterns and intake completion.
  • Validates that the collection and documentation of required information for the intake process by the intake team has occurred in accordance with standardized operating procedures.
  • Ensures that patient registration and other required recordkeeping in computer system(s) to facilitate billing tracking of patient and referral source and other data reporting has occurred in accordance with agency standards.
  • Communicates with clinic directors office managers and other managerial staff frequently to ensure a smooth continuum of care and collaborative problemsolving.

4. Clinical Triage and Liaison

  • Implements the use of screening measures as assigned to assist in determining if the program can meet the clients identified needs. Prioritizes scheduling based on screening outcome.
  • Ensures that the intake team provides a smooth transition from referral to service delivery or connection with alternative resources. based on screening measures and applicable thirdparty payer requirements.
  • Communicates critical information and data related to the intake process capacity and operations to management.
  • Serves as the primary source of information regarding intake operating procedures for Community Treatment.

Knowledge Skills and Abilities Required:

1. Work requires knowledge of customer relations and intake processes related to provision of mental health care.

2. Work requires knowledge of community resources in social medical and mental health areas.

3. Work requires knowledge of health insurance terminology plan coverages carriers and reimbursement procedures and provide leadership to others.

4. Bachelors degree in business administration or relevant field; relevant experience without a Bachelors Degree may be considered with the possession of a High School Diploma (or equivalent). Experience in office administration and staff supervision in a health care setting preferred.

5. Work requires substantial interpersonal skills to communicate effectively with the supervisees patients families health system staff and referral sources sometimes under stressful circumstances and provide daily direction training and supervision to assigned staff.

6. Work requires high level organizational skills and the ability to effectively utilize the electronic medical system and other essential tools used by the clinics e.g. DocuSign Zoom Adobe Microsoft Office products and Outlook.

7. Work requires analytic skills sufficient to determine the need for admission or referral apply knowledge of internal and community resources and handle administrative detail.

8. Work requires the ability to concentrate and pay close attention to detail when gathering and analyzing data managing priorities and resolving departmental problems and frequently produces a high level of mental/visual fatigue and stress.

9. Work may require travel to the various clinic locations as assigned to provide inperson support training and engage in quality assurance measures with intake department staff.

10. Work requires talking and moderate hearing.

The pay range for this position is $53560 minimum to $59580.14 maximum. Pay for this position is determined on a number of factors including but not limited to years and level of related experience.
