Admin/Assistant Property Manager Job Duties
Provide high quality reception and administrative service at front lobby desk from 9am5pm Monday through Friday.
Receive sign for notify owners and deliver packages to owners while using BuildingLink.
- Receive guests visitors vendors deliveries and emergency services.
- Maintain and operate building/owner portal successor to Building Link.
- Maintain and keep uptodate address phone and email listings for all owners residents and emergency contacts.
- Maintain individual owner files with a Homeowner Profile past requests and miscellaneous ownerrelated information.
- Record and investigate complaints and problems in the incident log keep manager informed and followup to ensure owner satisfaction.
- Maintain regular communication with owners and residents regarding issues related to their unit their specific building and common areas. Report any problems to manager.
- Record and make basic service call requests to repairmen or vendors for the Association.
- Refer owners to various vendors for repairs of appliances and other items inside their units using maintenance vendor and contact list.
- Coordinate times and receive tradesmen and repairmen for all units. Accompany all repairmen to units and check in on them periodically. Make sure the unit is locked and left exactly the way it was found. Follow up with owners about workers and work done.
- Maintain all blank swipe keys key fobs and garage door openers for owners and residents use. Maintain elevator keys. Log all swipe keys key fobs and elevator keys in database. Maintain all fourdigit codes for owners. Delete temporary fourdigit codes at owners request. Backup database at least monthly. Maintain access system database and make sure all aiphones and surveillance cameras are working properly. Make new swipe cards or key fobs for owners and residents if one is lost or not working.
- Perform a basic inspection of a unit at the owners request when they are out of town.
Following a hurricane or other major weather event check a unit for any damage at the owners request and report back and assist with any issues.
- Prepare and distribute a weekly newsletter to owners and residents informing them of upcoming scheduled repairs maintenance activities and other projects impacting the property as well as upcoming local cultural events and activities. In weekly newsletter inform owners of local events happening in the Charleston area.
- Maintain the Front Lobby with appropriate supplies to meet guests unexpected needs and provide light business services such as printing copying and faxing of documents.
- Schedule and make arrangements for Association social events such as receptions following the Annual Board meeting and holiday parties. Manage private party scheduling of the roof top terrace.
- Develop and maintain an Owners and Residents Guide to Living at One Vendue Range which will include among other items a description of services provided a copy of the Associations Rules and Regulations instructions for using the elevators and aiphone system security precautions how to prepare for a hurricane or other major storm or weather events rules governing the parking garages trash and recycling collection emergency and afterhours contact information and a description of the duties responsibilities and expectations of all onsite staff. Discuss any changes with manager.
- Provide an orientation to all new owners and residents summarizing the information contained in the Owners and Residents Guide to Living at One Vendue Range.
- Communicate and coordinate all move in/move out arrangements with applicable owners and residents.
- Act as Assistant Secretary to the Board of Directors. Take minutes of all Board meetings and distribute them to the owners and Board members.
- Water the planters as needed near the front entrance of Building 1.
- Aid Manager in other daily tasks especially unexpectedly events meetings or emergencies that happen throughout the day.
- Provide support as needed to Manager and Maintenance Manager.
- Must maintain a professional appearance
- Ability to communicate effectively and pleasantly with owners staff visitors and vendors.
- Excellent work ethic.
- Ability to multitask while also covering front desk.
- Excellent computer skills and familiarity with word excel surveys and recording meeting minutes.
