About the Position: The Scheduling and Event Manager serves as the main scheduler for events and other activities held at the Mason Square campus in Arlington VA. Additionally this position is part of a team of skilled event managers dedicated to supporting Mason Square clients throughout the event lifecycle from event assignment to postevent wrap up offering logistical support recommendations and guidance for oncampus events. Heres what the job looks like... |
Responsibilities: - Review and approve requests for space on the Mason Square campus to include all event requests for classrooms and event spaces ensuring compliance with scheduling policies and procedures;
- Identify and implement solutions for competing event requests to maximize space utilization and client satisfaction;
- Advise users on Mason Square scheduling distinctions and support 25Live training;
- Serve as the main administrator of the Mason Square Events email account and respond to event inquiries in a timely and professional manner;
- Compile information for weekly event reporting;
- Serve as primary point of contact for clients throughout the event lifecycle from reservation through execution;
- Conduct site visits with potential clients offering recommendations on venue suitability and available services;
- Work with internal and external clients to provide logistical guidance in support of the delivery wellexecuted events at Mason Square assisting with logistical arrangements cost estimates and information on support services and policies;
- Work closely with security parking catering and other support services to ensure scheduled events are supported;
- Work with an incredible team including the Senior Event Manager and AudioVisual Manager to ensure event audiovisual needs are understood and communicated to support staff;
- Assist in developing and improving event planning processes to enhance efficiency and client experience;
- Respond with appropriate urgency flexibility courtesy and good judgment to meet customer needs and resolves issues; and
- Administrative duties as assigned and directed.

Required Qualifications: - High school diploma or equivalent;
- Previous experience in event management venue coordination or related roles (generally two or more years);
- Possess outstanding interpersonal skills and the ability to work effectively and efficiently with a diverse audience including current university faculty and staff alumni donors students and the community;
- Must possess strong customer service time management and organizational skills with high attention to detail and ability to manage multiple events simultaneously;
- Must have excellent verbal and interpersonal communication skills;
- Must be able to work in a fastpaced environment requiring adaptability and ability to problemsolve;
- Must be able to safely and independently move items up to 50 pounds; and
- Must be able to work a flexible schedule including evenings and weekends.

Preferred Qualifications: - Bachelors degree in related field;
- Prior working knowledge of 25Live (Resource25) or other event management scheduling programs; and
- Experience working in higher education.
