Job Description

This Program Coordinator provides financial educational and administrative support of the operation of the King Sejong Institute at St. Marys University.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Supports the King Sejong Institute by performing document creation routine reporting payment settlement of accounts through the King Sejong Institutes integrated work management system.
  • Works in concert with the Deans office to coordinate the recruitment and appointment of instructors staff and students appropriately processing paperwork and maintaining confidentiality.
  • Coordinates oncampus visits arranges travel prepares agendas and coordinates calendars. Coordinates and schedules appointments and meetings.
  • Arranges and supports classes events programs and conferences. Maintains deadlines for action items for program needs.
  • Assists with program planning and implementation to secure resources and logistical details of classes instruction events or meetings by securing room(s) virtual resources and managing digital requirements.
  • Provides support for setup/execution speaker needs distribution of materials catering and any other related planning details while ensuring all plans are executed appropriately.
  • Prepares media and materials for programs and special events in coordination with the Language Department University Communications department for print and social media posts. Coordinates the production and distribution of marketing materials and social media releases.
  • Manages foundation and University files databases and other documentation following University and Institute policies.
  • Provides comprehensive administrative support of the daily operation of the foundation.
  • Assists with the coordination of course offerings maintaining information on instructional documentation and reports. Collects assembles and maintains files of all syllabi instructor credentials and all other semester documents.
  • Handles all finances including working with leadership and other departments on annual budget preparation monitoring expenses grant and fundraising budgets.
  • Manages and processes all aspects of travel arrangements to include University travel documentation expenses and reimbursements for leadership and visiting lecturers.
  • May hire guide and supervise student workers.
  • Serves as liaison for King Sejong Institute Director.
  • Performs other duties as assigned

QUALIFICATIONS:

  • Associates degree or college coursework required. Experience working in a college/university setting is preferred.
  • 3 or more years of administrative experience Higher Education experience preferred.
  • Must clear and maintain a favorable background investigation and clearance
  • Must be proficient in the Korean language and Bilingual (Korean/English with the ability to understand and to make ones self understood to Korean speaking individuals)
  • Must have an understanding of the King Sejong Institute Foundation business and operating requirements.
  • Must have a valid drivers license motor vehicle liability insurance and personal injury insurance or have a selfreliant source of transportation to conduct business on a daily basis
  • Must have the ability to demonstrate intermediate to advanced level skills in MS Office and Office 365 (Word Excel Teams Outlook and PowerPoint) including experience with virtual platforms such as Zoom and Hangeul (and other applicable software needed to operate the King Sejong Institute and Foundation).
  • Must have excellent verbal and written communication skills; strong public relations and customer service skills with an ability to implement diplomacy and discretion at all times; ability to work effectively with communities across the university
  • Must have high ethical standards and a strong sense of confidentiality; ability to prioritize and manage multiple deadlines; thrive in a complex work environment; display solid problem solving and interpersonal skills; work well independently and as part of a team
  • Must have ability to demonstrate attention to detail and be able to organize workflow coordinate activities balance simultaneous projects without loss of efficiency in a multitasked environment and manage multiple priorities to meet deadlines
  • Must be able to work nontraditional work hours (Weekends and evenings) as needed.
  • Familiarity with managing social media accounts like Instagram including the use of Canva tools or willingness to enhance skills in these areas.
  • Experience and competence in supply management tracking budgets delegation managing processes and promoting process improvement preferred.
  • Demonstrated ability to work independently anticipate needs manage multiple tasks simultaneously and exercise judgment under stressful circumstances yet able to work effectively as a member of a team.

PHYSICAL DEMANDS:

  • Working conditions are in an office environment and university campus setting. Must be able to move across the university campus to conduct day to day business.
  • While performing this role the employee will be regularly required to sit walk and stand; talk and hear both in person and by telephone; and use hands repetitively to operate standard office equipment; and occasionally required to lift up to 25 pounds.
  • Specific vision abilities required by this position include close vision distance vision and the ability to adjust focus.
  • Frequently communicates with others using approved technological resources; must be able to exchange accurate information through designated systems within a timely manner.
  • Constantly operates a computer and other office productivity machinery.
