Job Description

Columbia State is hiring two Faculty Curriculum and Programs Clerks who will work together to provide comprehensive administrative support to the Faculty Curriculum and Programs department.

Functions Supporting Department and FullTime Faculty:

  1. Provide general secretarial and administrative support for the department.
  2. Maintain appointment calendars office files records and supply inventory.
  3. Assist with processes and procedures specific to the department.
  4. Coordinate correspondence to other departments.
  5. Serve as a contact person for the department.
  6. Maintain files for the department.
  7. Create documentation and verify reports for Academic Program Review/Audit and site visits.
  8. Maintain curriculum change requests and post to SharePoint for availability to the Curriculum Committee.
  9. Maintain Charger Core Assessment forms and committee documents and post to SharePoint for availability to the committee.
  10. Coordinate Student Engagement/Participation Verification.
  11. Coordinate student evaluation of faculty processes and serve as a contact for students with questions concerning this process.
  12. Maintain the office and provide customer support for students and faculty.
  13. Maintain the Faculty & Programs email.
  14. Efficiently operate a personal computer and associated software (Outlook Access Word Excel etc.) and Student Information System accurately and effectively.
  15. Maintain Academic & Professional Preparation forms for faculty.
  16. Maintain Intent to Apply for Promotion & Tenure files for faculty.
  17. Maintain the faculty handbooks (full and parttime)
  18. Compile payroll data for overload and course enrollment stipends for parttime/fulltime faculty.

Functions Supporting PartTime Faculty:

  1. Monitor parttime faculty application pools in PageUp.
  2. Send updates of parttime faculty information and online orientation to the Communications Office to post in the myChargerNet portal.
  3. Assist and support the parttime faculty orientation process.
  4. Collect human resources forms for parttime faculty (W4 direct deposit I9 employee information TCRS Alternate Work Arrangement salary agreements)
  5. Work with the Information Technology department to create activate and deactivate PVTs for parttime faculty.
  6. Coordinate scanning indexing and disposal of parttime faculty employment documents.
  7. Create parttime faculty contracts in SelfService Banner and dual service and personal service agreements.
  8. Calculate and verify parttime faculty travel stipends and payroll summary sheets communicating corrections to the divisions.
  9. Coordinate with and enter payroll related data for parttime faculty for the payroll department.
  10. Maintain personnel files for all parttime faculty (active or inactive status).
  11. Communicate with parttime faculty to collect contract acknowledgements required forms transcripts student grades and Student Engagement/Participating Verification
  12. Maintain the Access database for parttime faculty and create queries/reports as needed.

Supplemental Functions

  1. Work with college personnel with various questions and problems.
  2. Provide good customer service to students college employees and the community served by the College.
  3. Perform other workrelated duties as assigned.
  4. Handle multiple tasks simultaneously
  5. Ability to use sound judgment in working with people and in decisionmaking.

Education Training and Experience Required

High school diploma or equivalent and four years administrative support experience

OR

Associates degree and two years administrative support experience

Knowledge Skills Abilities and Worker Characteristics

  1. Ability to communicate effectively in written and spoken English.
  2. Ability to relate to diverse faculty staff and students.
  3. Experience with Microsoft Office and publishing software.
  4. Excellent organizational and office management skills including ability to prioritize tasks.
  5. Good interpersonal skills including tact and diplomacy.
  6. Knowledge of college programs policies and procedures.

Working Conditions

  1. Normal sitting walking standing (for filing) lifting reaching bending for office environment.
  2. Near continuous use of computer during document preparation times.

Hiring Salary Range:$32000$38380

This position is based at the Columbia TN Campus.
