JOB SUMMARY:
The Export Documentation Administrator is responsible for preparing managing and ensuring the accuracy of all exportrelated documentation to facilitate the smooth and compliant shipment of product to international customers. This role plays a critical part in ensuring that export operations adhere to international trade laws customer requirements and internal company policies.
KEY RESPONSIBILITIES
General
Key responsibilities include the preparation of commercial invoices packing lists certificates of origin bills of loading and other shipping documents. The Export Documentation Administrator also coordinates with internal departments such as sales logistics loadout and Quality Assurance as well as with freight forwarders and customs brokers to ensure timely and accurate documentation and delivery of goods.
Operational
- Respond to customer inquiries promptly and professionally.
- Process and verify export documentation including EDNs ERAs PRAs shipping instructions and invoices.
- Monitor vessel schedules validate RFPs and manage Bill of Lading (BL) approvals.
- Coordinate postsailing procedures including document submission original BL requests and customer communications.
- Manage certifications including Health Certificates and Halal Certification processing.
- Review daily payment lists process RFPs and arrange courier shipments via DHL.
- Handle invoice processing and tax documentation compliance.
- Prepare packing lists and weight lists for FOB shipments.
- Issue DDP invoices upon US customs clearance confirmation.
- Generate proforma invoices based on sales team confirmations.
- Arrange document deliveries.
People
- Liaise and coordinate with team members sales logistics loadout production and QA to ensure organisational objects are achieved
Requirements
- Minimum 3 years of relevant work experience
- High level of diligence and attention to detail
- Strong attention to detail and accuracy
- Effective organizational and time management skills.
- Ability to handle multiple tasks under tight deadlines.
- Excellent communication and customer service skills.
- Flexibility to support the wider business as required
- Availability to undertake further training
- A solid understanding of export regulations (e.g. Incoterms U.S. Export Administration Regulations or other relevant global standards)
- Proficiency in export documentation processes and regulatory and the ability to interpret such documents
