Baystate Academy Charter Public School Job Description Job Title: Office Receptionist Supervisor: Director of Operations Job Responsibilities: - Greets parents students and visitors entering the office and provides assistance. Answers the telephone and responds to inquiries.
- Maintains documentation of all visitors.
- Receives sorts and distributes daily mail (interoffice and incoming from USPS) according to the policies and protocols.
- Collect prepares applies proper postage all outgoing mail.
- Produce family correspondence.
- Receives and coordinates pickup or delivery of packages through FedEx UPS USPS or other mail services.
- Receives/sends sorts and logs all incoming and outgoing administrative/nonclinical faxes.
- Prepares bulk mailings including folding inserting into envelopes applying postage and sorting/batching mail among other things.
- Assists in other office tasks to support the Administration such as filing making photocopies word processing or typing coordinating and ordering special office supplies purchasing and picking up food or meals preparing conference rooms for meetings etc.
- Perform monthly technology audits.
- Provide support to Business and Office Manager when required.
- Manage student database along with others.
- Assists in special projects and performs other duties as assigned by the administration.
Qualifications: - Minimum Associates degree preferred
- At least 3 years of relevant experience
- Have adequate technology skills to effectively navigate the districts Student Information System (PowerSchool)and have strong computer skills
- Ability to work in a fastpast diverse educational setting
- Bilingual (English/Spanish) preferred
- Strong organizatioinal and interpersonal communication skills
