PURCHASING AND ACCOUNTS PAYABLE SPECIALIST

12month Fulltime position
GENERAL STATEMENT OF JOB
Under limited supervision assists in the administration of the school system business affairs that deal with accounting and accounts payable and maintains the computerized operations. Reports to the Chief Finance Officer.
DUTIES AND RESPONSIBILITIES
ESSENTIAL JOB FUNCTIONS:
Posts journal entries and uploads supporting documentation
Prints separates and routes purchase orders to correct departments
Assists with account codes and checks for budget availability
Completes data entry on all budgetary items
Prepares and processes payments and mails checks
Processes and verifies invoices
Manages and updates vendor information
Completes monthly sales tax report
Files all invoices check requests and supporting documentation etc.
Responsible for overseeing credit card purchases including statement reconciliation and processing
Assist and support bookkeepers as needed with budget and purchasing questions
Maintain accurate records
Ensures compliance with financial policies and procedures
ADDITIONAL JOB FUNCTIONS:
Assists auditors as needed
Assists others in the business office when the need arises
Answers the telephone and handles or directs inquiries as appropriate
Prepares reports to appropriate agencies
Handles or directs inquiries and prepares 1099s NC sales tax report and other correspondence
Interprets policies and procedures
Collaborates with internal departments
Performs other related duties as assigned by the Finance Officer
Minimum Associates degree in a related field and experience in school bookkeeping or any equivalent combination of education and experience that provides the required knowledge skills and abilities.
KNOWLEDGE SKILLS AND ABILITIES:
Working knowledge of school bookkeeping software preferred (School Funds OnlineKEV Group)
Experience with LINQ preferred
Ability to demonstrate proper telephone and email etiquette
Must attend to details necessary to complete forms properly
Ability to maintain confidentiality
Ability to work without supervision
Ability to exercise independent judgment and initiative in completing work assignments
Possess effective oral and written communication skills
