Job Summary:

Under the general supervision of the Resident Engineer at the Constructions Org. This position is responsible for communicating via phone or direct contact with internal and externalcustomers. Responds to information requests from internal and external customers purchasing supplies through the Advantage System BiWeekly Time Sheet (BTS) input weekly timereports use of Pen IV system for daily diaries and pay quantities; monitor project budgets generating monthly estimates via Fast systems. Maintaining engineering records and project files
preparing pay estimates for contractors and Resident Engineer finalizing letter of agreements change orders checking certified payroll preparing and completing project closeouts.

Job Duties:

Perform a variety of office duties from operating multiline phone filing provide administrative support for the internal and external customers
purchasing supplies through the APPs System.

Complete weekly time reports use Pen IV system to complete dally diaries and pay quantities; use Fast system to monitor project budgets and generate
monthly estimates. Review construction plans specifications and documentation to ensure compliance With federal state and local requirements.

Maintaining projects files preparing pay estimates for contractors and Resident Engineer completing minor alterations force accounts checking certifiedpayroll letter of agreements preparing and completing project closeouts.

Knowledge Skills & Abilities (KSAs):

KNOWLEDGE

  • Knowledge of principles and practices of civil engineeringrelated to the construction of state highway road systems.
  • Knowledge of construction inspections methodsprocedures and techniques.
  • Knowledge of construction materials testing procedure.
  • Knowledge of ADOT policies and procedures related toprocurement.
  • Knowledge of various computer programs and system asrelated to office work and highway construction.
  • Knowledge on Google Platform.

SKILLS

  • Skill in written and verbal communication.
  • Skill in analysis and preparation of data.
  • Skill in organizing and prioritizing workassignments.
  • Skill in operation of equipment for completion

ABILITY

  • Ability to plan coordinate analyze establish prioritiesand perform tasks.
  • Ability to safely operate a State owned vehicle.
  • Ability to complete assignments to acceptable standardsof accuracy and timeliness.
  • Ability to problem solve
Selective Preference(s):

Experience with ADOT ProcureAZ High School Diploma or GED. Experience in administrative or advance engineering construction record maintenance; construction plan and specificationreview.

PreEmployment Requirements:

Valid Arizona Drivers License

This position requires driving or the use of a vehicle as an essential function of the job and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current valid classappropriate drivers license complete all required training and successfully pass all necessary drivers license record checks. The license must be current unexpired and neither revoked nor suspended. Employees who drive on state business are subject to drivers license record checks must maintain acceptable driving records and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R210207.11).

All newly hired State employees are subject to and must successfully complete the Electronic Employment Eligibility Verification Program (EVerify).
