Job Description

Job Title: Coordinator of Campus Visits

Reporting Relationship: Associate Director of AdmissionsCampus Visits

Unit: IWU Marion

Department: Arts & Sciences Admissions IWU Marion

Campus Location: Maxwell Center Marion IN

Summary of Position: This position shares the responsibility of coordinating the IWU visit program with the members of the Campus Visit Team. In this capacity this position assists with prospecting and recruitment opportunities. This position manages and orchestrates all aspects of the University Campus Visit Program specializing in Custom Visits (approximately 1600 each year) Group Visits (approximately 80100 groups/2000 prospects each year) and hospitality for all admissions guests. Finally this position may also assist with the development and implementation of visit workshops high school and offsite workshops and an admissions presence at IWU events and summer conferences.


Duties and Responsibilities

  • Manage the daily visit program to ensure that prospective students parents and influencers have a quality experience interacting with Admissions faculty coaches Financial Aid John Wesley Honors College other administrative offices current students etc.
  • Communicate with faculty coaches and staff concerning specific roles in each visit or event that includes oneonone appointments academic fairs academic division tours presentations technical needs campus tours signage displays overnight accommodation and meals
  • Schedule campus visits advising prospective students and parents on the best type of visit to meet their unique goals for their visit. Communicate with prospective students and parents via email and telephone to schedule campus visits
  • Using both email and telephone calls create schedules for individuals and groups for general visit days and academic spotlight days to meet guests needs and expectations and best highlight IWU distinctives and program strengths in a manner that moves prospect students towards enrollment
  • Interact facetoface with guests and adjust schedules when possible to meet lastminute requests for changes to the schedule and do this in a manner that puts guests at ease and maintains a positive visit experience
  • Assist with CRM implementation for visit scheduling and reporting
  • Assist the Visit Team with front office coverage lobby care and visit responsibilities as needed
  • Assist the Admissions Office with recruitment events including Admitted Students Weekend and youth conferences
  • Assist the Associate Director of Admissions with special events or projects

In addition he or she has a deep understanding of campus processes and systems.   • Professionalism As a leader within Enrollment Management the Coordinator of Campus Events demonstrates the ability to build rapport and strong campus partnerships through clear concise and considerate written and verbal communication. He or she is able to effectively represent IWUs brand to prospective students and families. For the Coordinator professionalism also involves being the ultimate team player demonstrating patience and grace with coworkers always having their back and volunteering to take on additional tasks in support of others. Is quick to own up to personal mistakes and stand with those who have made mistakes. As a professional he or she demonstrates appropriate dress attire and grooming has consistent attendance and makes a point of being on time
  • Interpersonal Skills/Emotional Intelligence The Coordinator possesses emotional intelligence and the soft stills associated with working with people. This includes demonstrating a high level of selfawareness actively aware of how decisions actions verbal and nonverbal communication impacts others. This also involves the practice of cultural humility in all communication and engagement with internal and external constituents. He or she demonstrates grace on a daily basis navigating change and adversity with optimism positivity and adaptability
  • Grace Under Fire The standout Coordinator understands the strong emotions of visiting students and parents and always shows the ability to respond graciously not taking accusations personally and bringing a soothing voice to any situation. He or she possesses a flexible cando attitude and responds positively to shifting schedules and changes while at the same time demonstrating and understanding of the need and appropriate times to say no graciously. The Coordinator goes above and beyond to course correct when a visit experience does not meet the expectations of prospective students and families
  • Instincts and Role Modeling The Coordinator models a strong workethic consistently demonstrating a cando attitude and Christlikeness to Admissions Student Workers. He or she has a history of trustworthiness and shows wisdom intuition and sensitivity to topics discussed in the presence of student workers. This wisdom is further illustrated during decisionmaking processes
  • Creative Thinking The standout Coordinator possesses solid critical thinking skills able to assess solutions project possible outcomes of decisions and creates contingency plans. This is particularly important in the continuing evaluation of visit processes and systems always with the goal of improving the IWU Campus Visit Experience. He or she has the wisdom to understand the appropriate times to express new ideas and strategies. Seeking to be a career long learner the Coordinator demonstrates a professional hunger looking for ways to grow and develop skillsets not being satisfied with the status quo. An example would include seeking ways to take the campus visit experience to the next level of relevancy for this generation of prospective students and their parents

Qualifications:According to Indiana Wesleyan University employment policy all employees must possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement.

Education

  • Bachelors Degree Required

Experience

  • One to three (13) years experience in a professional work setting preferably in higher education or a customer service role.
  • One to three (13) years experience in event planning
  • Demonstrated ability to work effectively with high school students and their parents including individuals from diverse communities and cultures
