Job Description

Introduction

We are seeking a highly organized and detailoriented Personal Assistant (PA) with experience in Accounts administration to provide comprehensive support to a Senior Manager. This role combines traditional personal assistant responsibilities with a strong understanding of basic accounting principles and tasks. The ideal candidate will have excellent organizational skills a high level of professionalism and the ability to multitask effectively in a dynamic work environment.

Duties & Responsibilities

Administrative Support:

  • Provide daytoday administrative support to the Manager including calendar management scheduling meetings and handling correspondence.
  • Screen and prioritize calls emails and other forms of communication.
  • Prepare and organize travel arrangements including flight accommodation and itineraries.
  • Organize and maintain files documents and records both digital and paperbased.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Perform general office duties such as ordering supplies managing office maintenance and liaising with service providers.

Accounts & Financial Support:

  • Assist with basic accounting tasks including invoice preparation expense tracking and reconciliation.
  • Maintain accurate records of financial transactions and assist in the preparation of financial reports.
  • Support the budgeting process and ensure timely processing of invoices and payments.
  • Liaise with vendors clients and internal departments regarding financial matters.
  • Assist with payroll preparation including tracking employee hours managing expenses and reconciling accounts.
  • Prepare financial spreadsheets and reports using Excel or other accounting software.
  • Ensure adherence to company financial policies and procedures.

Project Management:

  • Assist in managing small projects or tasks ensuring deadlines are met and milestones are achieved.
  • Provide support in organizing events meetings or conferences including budgeting and vendor coordination.

Other Duties as Assigned:

  • Undertake any other tasks or responsibilities as required by the Manager to ensure the smooth running of daily operations.

Requirements:

  • Proven experience as a Personal Assistant Executive Assistant or in a similar administrative role.
  • Solid background in accounts or financial administration with a basic understanding of accounting principles.
  • Strong proficiency in Microsoft Office Suite
  • Excellent written and verbal communication skills.
  • Ability to handle multiple tasks prioritize effectively and meet deadlines.
  • Strong attention to detail and accuracy especially in financial matters.
  • Highly organized with the ability to work independently and as part of a team.
  • Discretion and integrity when handling confidential information.
  • A proactive attitude with the ability to anticipate needs and take initiative.
  • A relevant degree or qualification in Business Finance or a related field is a plus.
