Job Description

Position Overview:

The Executive Assistant plays a vital role in supporting KIPP Kansas Citys executive leadership by managing schedules communications and project coordination. This role requires a highly organized detailoriented and proactive individual who can handle a fastpaced environment and represent the organization with professionalism and efficiency.

 

Key Responsibilities: 

  • Administrative Support

    • Manage the executives calendar coordinating meetings appointments and events with a focus on maximizing efficiency and ensuring alignment with organizational priorities.
    • Serve as the primary point of contact between the executive office and internal/external stakeholders handling inquiries relaying messages and facilitating communication.
    • Arrange travel logistics including booking flights accommodations and transportation as well as preparing detailed itineraries.
    • Prepare edit and proofread correspondence reports presentations and other documents on behalf of the executive team.
    • Ensure timely followup on action items and assist in prioritizing tasks and projects for the executive(s).
  • Meeting and Event Coordination

    • Organize and manage logistics for meetings including scheduling preparing agendas coordinating AV/IT needs and taking minutes.
    • Coordinate and support team events retreats and offsite meetings handling all logistics such as venue selection catering and agenda planning.
    • Prepare materials for meetings and presentations ensuring all information is accurate relevant and accessible.
  • Communication and Relationship Management

    • Foster strong working relationships across the organization and with external partners acting as a professional representative of the executive office.
    • Handle confidential information with integrity and discretion safeguarding sensitive organizational data.
    • Draft proofread and send communications on behalf of the executive team ensuring alignment with organizational tone and messaging.

Qualifications :

Qualifications:

  • Bachelors degree preferred but not required; equivalent work experience considered.
  • Minimum of 35 years of experience in an executive or administrative support role preferably in an educational or nonprofit environment.

  • Proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint) and experience with other office management software; familiarity with project management and scheduling software is a plus.

  • The candidate is expected to attend conferences meetings and training sessions both virtually and in person within the Region. 


Additional Information :

Work Environment

  • Reports to work MondayFriday and some weekends. 
  • A typical school or office environment with frequent interruptions.

Travel Requirements:

  • Ability to travel to work location. 

Compensation and Benefits:

Salary is based on years of experience educational background and level of expertise.
