A. POSITION PURPOSE
Reporting to the Associate Director of Planning & Projects the Associate Project Manager (APM) assists in creating the physical environment required for the University to accomplish its mission. The APM will support the implementation of the Santa Clara University Capital Plan Among the specific responsibilities will be taking direction and guidance in the creation and construction of renovations at the University providing support for the financial transactions and tracking and general support for SCU Planning and Projects.
B. ESSENTIAL DUTIES AND RESPONSIBILITIES
Plan Budget Schedule Secure Contracts Execute and CloseOut Individual small renovation projects.
Develop planning documents that allow for the creation of individual building programs.
Bid and negotiate small renovation projects; work in an organized and efficient manner; secure best value for the University on projects that vary in cost between $1000 and $1000000
Create initial schematic construction and final project budgets for review by the University partners including SCU leadership Associate Director and Senior Director Planning and Projects and AVP for Operations.
Create schedules that guide project program and University personnel actions. Ensure that schedule is properly communicated to all parties highlighting interdependence between each capital project and University programs.
Follow Department Guidelines and utilize Department forms including Project Checklists.
Reconcile project budgets against approved funding sources. Report discrepancies to the Senior Director and Associate Director Assist with planning execution and monitoring ensuring projects stay on track on budget while meeting quality standards.
Provide project support to the Senior Director Associate Director and Project Managers in support of capital projects.
Work directly with Operations Administration staff to pay vendors clear liens and ensure timely accounting of large and small projects.
Update and maintain schedules that guide project program and University personnel actions. Ensure that schedule is properly communicated to all parties highlighting interdependence between each large capital project and the University programs.
Provide project closeout and distribute asbuilt information with other departments in University Operations and the campus.
Manage project documentation including recordkeeping archiving and preparing reports.
Conduct site visits to monitor progress identify issues and ensure adherence to safety regulations.
Assist with quality control procedures including inspections and reviews of work.
Generate work orders as needed for proper project completion.
Support the Universitys Space Inventory Management Program by verifying and maintaining Space Use records. Field surveying of buildings will be part of this position. Implementation of a new space utilization program will also be part of this positions duties.
Oversee the condition of the Planning & Project Archive Room keeping it clean and organized.
Other duties as assigned.

Recommends initiatives and implements changes to improve quality and services. Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices. Maintains contact with customers and solicits feedback for improved services. Maximizes productivity through use of appropriate tools planned training and performance initiatives. Researches and develops resources that create timely and efficient workflow. Prepares progress reports; informs supervisor of project status; and deviation from goals. Ensures completeness accuracy and timeliness of all operational functions. Prepares and submits reports as requested and required. Develops and implements guidelines to support the functions of the unit.
E. QUALIFICATIONS
To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The items below are representative of the knowledge skills abilities education and experience required or preferred.
1. Knowledge
Working knowledge of Microsoft Office Microsoft Project and Google Suite required. AutoCAD/Revit experience required. The desire and ability to learn AiM (Facility Management program) and Workday (Campus Financial program).
Knowledge of construction management software (ProCore etc.)
Understanding and support of the Jesuit tradition of Christian humanism on which the University was founded and a commitment to the fundamental values of service to others community and diversity is essential.

Understanding of construction drawings specifications and construction methods
Ability to read and interpret construction schedules.

Ability to work independently and exercise good judgment and common sense appropriate to the related circumstances.
2. Education
Bachelors degree in construction management Civil Engineering or related field (or equivalent experience).
3. Requirements
Valid California drivers license and excellent driving record.
CMIT/CACM certification preferred.
4. Years of Experience
Minimum 4 years of experience in construction or project management required.
