Job Description

Secretary

Project Secretary

Mandatory requirements:

  • B. Sc. Eng from an accredited college or university.
  • Minimum 35 years experience in the field of big Engineering and / or Construction Projects (Oil / Gas or Infrastructural)
  • Excellent Administration and Coordination Skills
  • Independent working style well organized upon assigned tasks
  • Proactive and Service Mind
  • Excellent organizational and coordination skills
  • Friendly and polite appearance customer focused behaviour
  • Ability to work under time pressure and meet tight deadlines
  • Detailed oriented meeting high quality standards in performing all activities
  • Excellent in English language
  • Excellent in application of Microsoft Office Program especially Word Excel PowerPoint etc.
  • Capable to manage scans copies faxes phone systems internet activities
  • Team player

Primary Objectives Project Secretary (48 Hours Per Week 5 Working Days Per Week)

  • Handling all project secretarial tasks to support the Project Manager and / or Project Engineer and project teams in execution of multiple engineering and construction projects of different sizes and complexity
  • Dealing with related departments according to the project requirement (e.g. Project Control Contracts Engineering Construction QHSE Human Resources Senior Management Departments)

  • Dealing with clients and other 3rd party business partners like clients contractors vendors consultants authorities etc.
  • Preparation and filing (paper and electronically) of project management technical safety quality and commercially related documents such as correspondence reports minutes of meetings contractual documents etc.
  • Set up and maintaining documentation / filing logs
  • Management and order stationary as well as office tools and equipment
  • Arranging meetings including technical equipment for conferences and presentations
  • Arranging business trips.
  • Following up all tasks and assigned action lists
  • Living companys business and safety culture / adherence to companys safety policies and procedures
