You will be updated with latest job alerts via emailThe Operations Data Associate II role in the Department of Business Development including the Divisions of Mayo Clinic Ventures and Corporate Development reviews and dockets a variety of intellectual property related agreements including confidentiality material transfer joint invention and license agreements. Responsible for the comprehensive recording of complex legal intellectual property agreements including those with multiple parties multiple technologies multiple innovators reporting equity and cash obligations. The incumbent dockets and maintains various entries related to proprietary Mayo Clinic technologies into a comprehensive intellectual property contractual and financial database. Conducts detailed analysis and audits to ensure reasonableness accuracy and quality assurance of personal and team member docketed entries including the review of institutional intellectual property disclosures deadlines and associated documents. Creates prepares and maintains revenue and expense transactions to assist in facilitation of invoicing of royalties legal expense reimbursements supporting stock/equity transactions and other related finance operations activities. Generates reports and database queries to identify transactions to be queued for invoicing and collections. Assists with preparation and processing of royalty disbursements and reimbursement payments per institutional guidelines (royalty sharing policy invention handling agreements and other related practices and policies). Assists in collection of required agreement compliance and reporting obligations sales reports status reports and other required reporting documentation. Conducts recurring reporting and other entity reporting as assigned. Researches and responds to internal and external requests for information using internal intellectual property database and other systems as required. Communicates a wide variety of information to teams and individuals inside and outside of the department. A substantial understanding of the patent application and prosecution process including knowledge of existing U.S. Patent and Trademark Office (USPTO) practices notifications and communications must be applied to effectively perform position responsibilities. The incumbent will be actively engaged in the training of operations business unit team members act as a resource for questions and offer quality output guidance to team members provide process improvement suggestions and be an active member of the process improvement implementation team.
This position will have a primary focus providing technology equipment and application support training and management across the various platforms utilized within the Department of Business Development. These applications and tasks of responsibility can include Microsoft Office applications like MS Teams SharePoint Outlook Word Excel PowerPoint etc. Adobe Acrobat Pro intellectual property CRM and deal management database tools etc. user access distribution list and SharePoint site management in line with appropriate security protocols for Business Confidential information workstation equipment ordering and inventory management installation and service support for hybrid workers onsite workstations and meeting room technology and related support and troubleshooting. As such advanced experience with customer service and providing technical equipment management and technology support preferred.
This role will primarily be onsite in the Minnesota BioBusiness Center fulltime.
Requires 12 years postsecondary education plus 12 years experience working in a technology transfer/commercialization or venture management environment. In lieu of the postsecondary education requirement a minimum of 35 years of business operations or information/data management experience will be required. Bachelors Degree in business or related field is preferred. Experience working within a technically oriented relational database is strongly preferred. Requires previous experience in a work situation demonstrating organizational ability accuracy and a high attention to detail. Requires strong analytical skills independent decision making problem solving and ability to manage multiple tasks in a fastpaced environment. Must have strong human relations and communication skills excellent clerical aptitude math skills and accurate keyboarding skills. Must maintain strict confidentiality and handle a wide variety of confidential information in a sensitive manner. Requires sound decisionmaking and judgment capabilities. Contributes to a cooperative and productive atmosphere. Must be adaptable/flexible within a changing work environment and comfortable working with ambiguity. Must possess proficiency with computers including but not limited to Microsoft Word Microsoft Excel Microsoft Outlook Internet browsers and relational database experience.
