Job Summary:

Reporting directly to the Chief Revenue Officer and Executive Vice President Publishing the Executive Assistant provides administrative support to the Senior Leadership Team. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Chief Revenue Officer and Executive Vice President Publishing roles; representing the executives to others. This position serves as a liaison to the Board of Directors and senior management teams and oversees special projects. The Executive Assistant will perform a variety of administrative tasks that require independent judgment discretion and confidentiality. This position provides highlevel administrative support by conducting research preparing statistical reports handling information requests preparing correspondence receiving visitors arranging conference calls and scheduling meetings. Also the Executive Assistant routinely reviews the work of and provides direction to others to complete projects and assignments in a timely manner.

Duties and Responsibilities:

  • Manages and maintains executive schedules including scheduling travel and conferences making appointments and arranging meetings and events.
  • Represents the executive by attending meetings in the executives absence; speaking for the executive.
  • Handles highly confidential information with discretion.
  • Welcomes guests and customers by greeting them in person or on the telephone; answering or directing inquiries.
  • Conserves executives time by reading researching and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Prepares reports and presentations collects and analyzes information.
  • Develops and manages paper and electronic filing systems recording information updating paperwork and providing retrieval of information.
  • Records meeting discussions and provide minutes.
  • Prepares executive responses to routine memos letters or correspondence.
  • Works closely with other executives and administrative assistants at affiliate companies located overseas.
  • Executes special projects by assigning work and providing direction to others as needed.
  • Capable of critical analysis and handson problem solving with short notice incorporating the knowledge of subject matter experts and multiple team members.
  • Interacts with internal and external peers and/or managers to exchange complex information related to assigned activities.
  • Receives work in the form of short midterm and longterm assignments that often require use of independent judgment outside of established procedures.
  • Working inoffice is an essential function of this position. This requirement of facetoface interaction is in place to ensure effective supervision collaboration and teamwork. Inoffice attendance is required for the following reasons:
    • For effective supervision of employees and our work product which includes ensuring all employees have necessary oversight of their work and access to supervisory assistance which includes meetings to review work product deadlines and status.
    • To foster communication and collaboration among team members which includes the following: allowing for spontaneous brainstorming sessions and exchanges of ideas quick access to team members to enable collaborative problemsolving and stronger cohesion among coworkers and within teams.
    • To enhance the sharing of information necessary to effective job performance and product creation.
    • To enhance understanding of our stakeholders work and business needs facilitate a more seamless and organic workflow and ultimately increase efficiency and successful outcomes.

Qualifications

Qualifications and Skills:

  • Bachelors degree in business administration or related field
  • 5 years of experience in mid to seniorlevel administrative support role
  • Strong research and problemsolving skills
  • Advanced MS Office experience
    • Proficient in MS Word Excel Outlook and PowerPoint.
  • Full knowledge of office management systems and procedures
  • Basic bookkeeping and math skills
  • Proficiency in English and Japanese languages
  • Meticulous attention to detail
  • Exemplary planning and time management skills
  • Ability to stay calm and ontask in highstress situations
  • Ability to multitask and prioritize daily workload
  • Highlevel verbal and written communications skills
  • Discretion with personal and confidential information
