Position Summary

The Director Workforce Optimization plays a critical role in establishing and leading UHNs first hybrid Scheduling Office. This newly created role promotes and monitors best practices in scheduling provides strategic leadership to ensure efficient utilization of human resources to ensure that optimal datadriven master rotations are maintained as conditions affecting labour demand evolve. This role creates and communicates measurements of scheduling effectiveness and ensures that Workforce Management technology meets enterprise scheduling and staffing requirements. Using your technical expertise and collaborative approach you will lead a team of individuals responsible for Master Rotation maintenance schedule training Workforce Management system configuration and employee scheduling. You will collaborate with leadership teams across UHN to promote accountability and ensure adherence to appropriate collective agreements scheduling policies and models of care as well as ensuring that schedulers across UHN receive appropriate Workforce Management training.

The Director Workforce Optimization will have the opportunity to play a pivotal role in the implementation of UHNs first enterprise Workforce Management System which aims to kick off in Fall 2025.

About you

You are a dynamic leader with exceptional technical skills adept at optimizing workforce management processes. You have strong analytical skills coupled with advanced proficiency in mathematics and Excel enabling you to make datadriven decisions that enhance operational efficiency. You have a proven track record of successfully leading a team and fostering a collaborative and resultsoriented environment. You have proven skills in working with various levels of leadership explaining complex processes and requirements and helping to support stakeholders in making key decisions. You can operate with ambiguity and can manage conflicting expectations.

You have experience working with an Enterprise Staff Scheduling/WFM systems preferably in a complex hospital environment with multiple unions and work schedules and experience collaborating with departmental leaders to gather required information.

Duties

  • Hybrid Staffing Office Management: setting up and managing a hybrid staffing office leading and engaging a team of workforce management specialists to deliver exceptional service and support to internal clients.
  • Operational Responsibilities: effectively lead a team that supports unit managers and scheduling staff to establish and maintain effective staffing models for delivery of service in their specific units or departments ensuring adherence to appropriate collective agreements and staffing policies.
  • Workforce Management Consultation: provides consultation and support to managers and scheduling staff in rotation management techniques to optimize resource utilization. This position is responsible to analyze current rotations and to work with managers and scheduling staff to review plan and build optimized rotations. This position facilitates change advises on best practice and liaises with various stakeholders to achieve optimal results.
  • Analytics and Reporting: drive enterprise staff scheduling and workforce analytics and reporting for UHN. The position will be responsible for conducting quantitative analysis to support decision making identifying opportunities and creating practical recommendations to operational leadership for improvements. Analysis and reporting on strategic and ad hoc metrics is also required to support decision making across UHN.
  • Training: lead the development and delivery of training and ongoing education and support of schedulers.
  • Technology Implementation and Maintenance: lead the implementation and optimization of UHNs Workforce Management System and tools to improve scheduling and resource management.
  • Stakeholder Engagement: Use technical expertise and collaborative approach to ensure Managers and Directors of areas (units/departments) understand their staffing model and project their workforce needs. Communicate effectively with stakeholders at all levels to explain complex issues support decisionmaking and manage expectations

Qualifications :

  • Bachelors degree in Human Resources Business Administration Engineering Computer Science Mathematics Information Technology or related field.
  • Minimum of five (5) years related experience with two (2) years in a progressive leadership role required with demonstrated acumen in working with labour and employee relations in a highly unionized environment.
  • Demonstrated proficiency of analytical skills and knowledge of analytical software (e.g. Microsoft Excel Power Query PowerBI etc.).
  • Experience building and optimizing schedules and master rotations.
  • Knowledge of UKG or other electronic scheduling systems.
  • Experience with utilizing Microsoft 365 (SharePoint Forms Power Apps).
  • Experience developing financial business models to support recommendations.
  • Experience in facilitating workshops seminars and training sessions for adult learners.
  • Advanced knowledge of Collective Agreements.
  • Selfdirected demonstrated ability to work collaboratively with others.
  • Excellent interpersonal and communication skills both verbal and written. Ability to articulate difficult complex concepts to parties with limited knowledge of those concepts. Experience working with an influencing others and multiple management levels.
  • Proven decisionmaking negotiating conflict resolution and problemsolving skills.
  • Demonstrated ability to manage conflicting priorities and confidential data.
  • Must demonstrate a strong commitment to customer service.
