Position: Patient Intake Coordinator
Working Hours: Monday to Friday 8:00 AM 5:30 PM CST
About the Role
We are looking for a highly skilled and reliable Virtual Patient Intake Coordinator to join our dynamic team. This role is essential in supporting our frontend operations specifically focusing on managing new patient leads scheduling and coordinating patient records. You will be the first point of contact for many of our patients and must deliver exceptional service with professionalism and clarity.
Key Responsibilities
- Answer inbound calls from prospective patients and schedule initial evaluations
- Manage lead pipelines using CRM software (Zoho)
- Provide detailed information about our services to patients and affiliates
- Obtain and organize patient medical records
- Schedule patient referrals and leads from our affiliate network
- Process and log patient payments accurately in the ledger system
- Assist patients with connecting to telehealth appointments
- Maintain uptodate knowledge of our evolving services and procedures
- Ensure a dependable remote work setup with highspeed internet and reliable technology
Qualifications
- Strong verbal and written English communication skills are mandatory
- Must have clear enunciation minimal accent strong vocabulary and professional tone
- A minimum of 6 months experience in a healthcare setting (e.g. medical or dental office)
- Proficiency with G Suite (Google Sheets Docs Chat)
- Must be punctual consistent and fully available during scheduled working hours
- Ability to manage time effectively prioritize tasks and work independently
- Positive friendly and professional demeanor in all patient interactions
Primary Focus Areas
- Scheduling new patient evaluations
- Managing and converting incoming leads
Secondary Responsibilities
- Retrieving and tracking medical records
- Assisting with telehealth coordination
Performance Metrics
- 80 of new patient evaluation (NPE) calls answered on the first attempt
- 100 of all missed NPE calls returned sameday
- 100 of email inquiries responded to within 1 hour
- 50 conversion rate from lead inquiry to scheduled appointment
