Job Title: Administrative Assistant School Professional II
Primary Objective:
- Assist Building Principal and Assistant Principal in the smooth and efficient operation of the school by providing support and services in matters relating to students with duties that include but are not limited to: maintaining student daily attendance and coordinating substitute teachers with an awareness of all district requirements and Board of Education policies
Minimum Qualifications:
- High School Diploma or general education degree (GED)
- Works well with minimal supervision
- Able to effectively and efficiently prioritize and complete multiple tasks simultaneously with attention to detail
- Able to communicate clearly and concisely both orally and in writing
- Friendly and professional attitude as well as discretion in matters relating to students parents staff members and office business matters
- Works well with others
- Computer skills necessary including Microsoft Office
- Adept at learning and using other related software and webbased programs
Preferred Qualifications:
- Previous experience in an office setting
- Previous experience in Skyward
Accountable to:
- Principal Assistant Principal
Evaluation:
- Per MCSA Negotiated Agreement
Essential Job Functions:
- Process daily student attendance
- Coordinates daily schedule for substitute teachers
- Coordinates with the district substitute teacher coordinator to arrange for substitutes on a regular basis
- Maintain substitute teacher folders
- Maintain the Student Services calendar
- Makes changes to student emergency procedure information when received by the Receptionist
- Coordinate fall and spring school pictures
- Coordinate grade level activities as necessary
- Track field trip paperwork
- Inventory and distribute teacher manuals and resources
- Assist with preparation and running of school activities
- Assist in maintaining school budget accounts and student activity accounts recording all expenditures accurately and maintaining current data regarding availability of funds
- Assist in maintaining petty cash records
- Assist with school activities as assigned by the building administration e.g. registration backtoschool days open house etc.
- Assist in maintaining and editing all information entered into the student management system
- Assist in ordering school supplies and maintaining inventory
- Assist principal with preparing for staff meetings and running errands
- Assist with projects when needed
- Assist with end of the day dismissal as needed
- Serve as a backup in the health services office when needed
- Performs additional duties as assigned
Requirements:
- Bending carrying climbing lifting pushing pulling reaching sitting standing and walking
- Must be able to occasionally lift move or push items of 30 lbs.
Working Conditions:
- Includes extremes of temperature and humidity
- Hazards include stairs and communicable diseases
Terms of Employment:
- 176days per year
- 4paid holidays
- 7 hours per day
