The Digital Production Coordinator plays a crucial role in project managing media production and operations for the PJ Library Digital Content team. This position reports directly to the Director of Digital Content and is responsible for keeping projects on schedule and within budget as well as coordinating workflows for internal and external contributors related to all projects within the departments portfolio.
As a member of the Digital Content team the Digital Production Coordinator will work closely with our Director of Digital Content and partner with our Social Media Editor to support editorial and production processes for digital content. Responsibilities within this portfolio include 1) supporting the publishing of blog posts and website content 2) supporting production of our podcast network PJ Library Presents 3) interfacing with other departments within HGF to accomplish goals and meet milestones 4) providing project management to support to the Digital Content team and 5) supporting Social Media initiatives.
Our ideal candidate is meticulously organized with keen attention to detail and innate flexibility.
1. Blog and Website Publication:
Manage project processes in Wrike project management software setting timely reminders and following up with all content contributors.
Oversee web production timelines including driving blog post drafts through the production pipeline using platforms like Webmaster reflecting this work in Wrike.
Manage schedule and deliverable timelines for content editing and publishing.
Coordinate with external copy editors ensuring drafts are sent and edits received within set timelines keeping projects on track.
Regularly audit upcoming holiday content for relevance deleting duplications and out of date content.
Lead quality assurance reviews on videos and blog posts ensuring there are no typos or broken links and that all metadata is appropriate.
Ensure holidayrelated content is posted/live one month before each holiday.
2. Podcast Production:
Update and track podcast production timelines and milestones in Wrike.
Upload final files to the distribution system and add episode notes and tags. Double check that text formatting is correct.
Lead quality assurance reviews on raw mixes to ensure correct language pronunciation script adherence and correct name usage through both personally listening and recruiting additional listeners within PJ Library.
3. Interfacing with HGF Departments
Manage project requests across the foundation for social media support and video/audio production.
4. Departmental Project Management
Take a lead role in guiding projects from original concept through final implementation.
Ensure that projects are delivered on time within scope and within budget.
Lead discussions to identify business requirements contributing to project scope involving all relevant stakeholders and ensuring technical feasibility.
Take exquisite meeting notes distributing to attendees in a timely and organized fashion after meetings and ensuring that relevant information from meetings is immediately captured within appropriate places in Wrike.
Drive projects forward through adhering to current functional processes and collaborating with the Director of Digital Content to design and execute systems that increase clarity transparency efficiency and overall ease of all projects within this departments portfolio.
Support external and internal team members & partners in sticking to deadlines through timely and positive follow up.
Coordinate with vendors for all digital projects: podcasts animated readalouds website content etc.
i. Maintain uptodate paperwork for vendors (voice actors/freelance writers and their W8/W9s etc.).
ii. Coordinate with the Accounting department to ensure payments are made in timely fashion.
iii. Oversee vendor payments following up with contractors and the head of Marketing to ensure vendors are paid in a timely manner.
5. Social Media Support:
Pull analytics and monitor posts in order to update the HGF social media slack channel weekly and keep staff updated on social media stats with links.
Compile easytoread slide decks with links to well performing content for all HGF personnel.

Director of Digital Content can focus on the creative aspect of the web content pipeline knowing that the Coordinator has the administrative side of things handled.

Location
This role is available fully remote within the U.S. or hybrid from our offices in New York City or Agawam MA. Hybrid employees are expected onsite 60% of the time. All team members must be available during standard Eastern Time (ET) business hours for meetings and collaboration.
Compensation
A competitive salary ranging from $58000$68000 annually commensurate with experience.
