Job Description

SCHOOL/DEPARTMENT: Federal Programs Oce TYPE: Classied STATUS: NonExempt SALARY: ($19.78 DOE up to 5 years experience 12Month Position Full Benet Package) WORK CALENDAR: 261 Days 8 Hours Per Day START DATE: July 2025

REPORTS TO: Director of Federal Programs

DEFINITION: Under general supervision provides assistance and support to the department and maintains related data for all Federal programs for Somerton School District No. 11.

ESSENTIAL FUNCTIONS:

TASKS:

Policy Reports and Data

  • Demonstrates an understanding of all federal regulations related to Federal Programs.
  • Maintains uptodate physical and digital files for all federal grants required documentation
  • Creates analyzes and compiles reports based on parent student teacher and staff surveys.
  • Manages the districts Integrated Action Plan (IAP) in the GME system and collects data from individual school IAPs.
  • Gathers and organizes relevant data for the preparation of required federal state and local reports.

Clerical

  • Provides general clerical support including establishing and maintaining an organized filing system for program documentation and distributing information to schools as needed.
  • Manages and organizes documentation required to ensure program compliance.
  • Assists with processing travel requests purchase orders Personnel Action Requests (PARs) and stipends documentation.
  • Performs other related duties as assigned to support program operations.

Homeless Liaison

  • Identification of all students experiencing homelessness are properly identified through outreach and coordination with community agencies.
  • Facilitates the immediate enrollment of homeless students even if they lack required documents (e.g. immunization records proof of residency).
  • Coordinates support services such as transportation and community resource (e.g. local shelters food programs medical care).
  • Advocates for homeless students and ensure their rights under the McKinneyVento Act are protected.
  • Ensure parents/guardians are informed of educational rights and opportunities.
  • Work with district staff school personnel and external agencies to support homeless students and families.
  • Collects and reports data on homeless students to state and federal agencies.

Parent Involvement

  • Coordinates and supports site staff with TI Annual Parent Meeting
  • Collaborates with school secretaries to document parent involvement activities throughout the year in TI Binder
  • Supports director with data and documents related to the districts Integrated Action Plan (IAP).
  • Schedules and conducts onsite meetings and informal discussions at schools as needed or requested.
  • Actively participates in program meetings open house events community fairs and outreach activities with partner agencies.
  • Assists and supports school secretaries in identifying reviewing and developing resource materials that are culturally and linguistically appropriate for families.

KNOWLEDGE SKILLS AND OTHER CHARACTERISTICS:

Knowledge of district school federal and state guidelines regulations policies and procedures governing federal programs.

Knowledge of information system environments methods and techniques.

Knowledge of administrative support and recordkeeping techniques.

Skill in analyzing highly technical information and translating it into easily understood communication.

Skill in exporting importing and processing data from a variety of websites.

Skill in using data to present information in the appropriate format including graphs charts and web rosters.

Skill in creating and integrating custom web pages with programs and databases for both input and output.

Skills in navigating programs and databases for both input and output.

Skill in using spreadsheet database data management software and word processor programs on the Macintosh platform.

Skill in the development processing and manipulation of spreadsheets with data entry computer programs.

Skill in verbal and written communication and instructions.

Skill in establishing and maintaining eective working relationships.

PHYSICAL REQUIREMENTS: Work is performed in an indoor environment. Work requires frequent standing walking and sitting. Some positions may require bending and lifting up to 40 pounds.

QUALIFICATIONS: High school diploma or GED required. Minimum of five (5) years of administrative assistance experience preferably within the state of Arizona. Experience working with adults and/or parents is preferred. Must possess a valid Arizona drivers license. An IVP (Identity Verified Prints) Fingerprint Clearance Card is required at the time of hire.
