Payroll Supervisor

SUMMARY OF ASSIGNMENT

Under the direction of the Payroll Manager perform such duties as required to ensure proper processing of payroll maintaining controls on same and compiling required monthly/quarterly billings and reports while providing customer service within a diverse environment.

ESSENTIAL FUNCTIONS

  • Perform all duties connected with processing employee pay to include calculating actual wage and applicable coding from information provided by the Human Resources Office.
  • Input all online data entry into computer to include monthly pay hourly time sheets absences budget account numbers deductions and miscellaneous changes for each employee.
  • Prepare monthly claim forms for District cost on medical insurance salary insurance dental insurance workers compensation and life insurance.
  • Prepare monthly billings to accompany warrants on all voluntary deductions.
  • Maintain correct leave balances for each employee such as vacation and sick leave.
  • Verify and reconcile reports including Hours Earnings report; prepare computer reports; act as liaison with other departments/divisions in matters relating to computer systems; balance warrant register for net pay accuracy; prepare warrant register; generate additional warrants and deduction warrants.
  • Assist District employees with salary and benefit inquiries.
  • Distribute monthly warrants to employees via direct contact and mail.
  • Maintain confidentiality and professionalism.
  • Audit budget account numbers.
  • Perform other duties as required.

MINIMUM QUALIFICATIONS

Education and Experience

  • Associate of Arts degree in accounting or business administration OR two (2) years of successful experience in a responsible accounting payroll or human resources position.
  • One (1) year of computer experience including but not limited to data entry.

Required Knowledge Skills and Abilities

  • Knowledge of computer payroll systems.
  • Knowledge of general accounting payroll and auditing procedures.
  • Knowledge of payroll reporting and controls.
  • Knowledge of computer data entry for inputting and extracting payroll reports.
  • Ability to research information relating to the payroll arena.
  • Ability to accurately and efficiently operate general office equipment such as PC and software programs copy machine fax machine 10key calculator and telephone.
  • Ability to maintain regular and punctual attendance.
  • Ability to work overtime during peak processing periods especially September through December and at monthly payroll cutoff.
  • Ability to accept and implement professional feedback and maintain a growth mind set.
  • Demonstrated proficiency in oral and written communication.
  • Ability to be flexible and open to new ideas to coordinate multiple activities to work effectively under pressure and to maintain a high level of productivity.

DESIRABLE QUALIFICATIONS

  • Three (3) years of progressive responsible experience within a payroll or human resources position.
  • One (1) year experience working in a school district.


WORKING CONDITIONS

Work is performed in a regular office environment. Ability to use fingers hands and arms; sit or stand for prolonged periods of time; lift 30 pounds; and bend twist walk and reach requiring ordinary physical effort are all required. Exposure to normal levels of office dust office machines and their required chemicals and limited VDT screens are part of the job.
