Job Description

MADISON ELEMENTARY SCHOOL DISTRICT #38

TITLE:ADMINISTRATIVE ASSISTANT II (BUSINESS SERVICES)

JOB SUMMARY: To perform a wide variety of administrative clerical and technical functions to ensure effective and efficient operations of the business department.

QUALIFICATIONS AND REQUIRED SKILLS:

  1. Possess high school diploma or equivalent school system experience (preferred).
  2. Possess four years of increasingly responsible secretarial experience (preferred).
  3. Require an excellent command of the English language.
  4. Skill in composing memos letters reports and other documents.
  5. Knowledge of District policies and procedures.
  6. Knowledge of record keeping and confidential records management principals.
  7. Skill in effective communication both verbal and written.
  8. Skill in establishing and maintaining effective relationships with coworkers parents and others. 9. Knowledge of general office processes and procedures including accounts payable administration. 10. Skill in entering data into standard and specialized computer software with accuracy and speed. 11. Spanish Bilingual and ability to translate written Spanish to English English to Spanish (preferred).

RESPONSIBILITIES:

  1. Provide administrative support to the Business Department including data entry document preparation and recordkeeping.
  2. Prepare correspondence independently from oral instruction district forms and reports.
  3. Assist with budget preparation financial reports and expenditure tracking.
  4. Assists with accounts payable process including data entry communication with district personnel and vendors.
  5. Maintain a high level of ethical behavior and confidentiality.
  6. Process purchase orders invoices and reimbursement requests in accordance with district policies.
  7. Schedule and attend meetings take notes and prepare summaries for distribution to participants.
  8. Handle phone calls emails and inquiries from staff vendors and the public.
  9. Sort daily correspondence.
  10. Prepare and maintain PARs purchase orders etc. as needed.
  11. Coordinate meetings prepare agendas and reports as needed.
  12. Assist in media communication.
  13. Assist in the coordination of business trips/conferences.
  14. Produce annual projects as needed.
  15. Operate equipment safely.
  16. Contribute to the team by accomplishing additional duties as assigned.

LANGUAGE SKILLS:

  1. Ability to read and interpret documents in English materials lists and procedure manuals.
  2. Ability to write routine correspondence in English.
  3. Ability to speak effectively in English before groups of customers or employees.

REASONING ABILITY:

  1. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  2. Ability to interpret a variety of instructions furnished in written and verbal form.

EVALUATION:

Performance will be evaluated by the Director of Finance

SUPERVISION:

Supervised by the Director of Finance

Exercises no supervisory responsibilities.

GRADE / SALARY SCHEDULE / LENGTH OF WORK YEAR:

Grade F $18.75$22.98 (DOE)

12 months / 8 Hour Day / Benefits
