TITLE: Project Coordinator

LOCATION:Administrative Service Center (ASC)

REPORTS TO:Chief Operations Officer

DEPARTMENT:Human Resources

HOURS/WORK TIMES

Generally 8.0 Hours Per Day (7:30 a.m. 4:30 p.m.)

260 Days Per Year (July June)

This position will remain open until a qualified applicant is selected. The earliest date a recommendation for hire may be submitted is after May 8 2025.

SUMMARY STATEMENT:

Under the general direction of the Chief Operations Officer the Project Coordinator will assist with the coordination and implementation of Skyward SMS 2.0 to Qmlativ. The current estimated migration is anticipated to be July 2026. The ideal candidate will have experience managing software upgrades particularly for Skyward Qmlativ and will be responsible for the entire project lifecycle from initiation to closure. This position will work closely with various district departments and outside stakeholders for development prioritization implementation technical assistance and training of staff. This position will maintain progress reports monitor completions deadlines and resolve problems.

ESSENTIAL FUNCTIONS:

  1. Serve as primary point of contact for all stakeholders involved in the project (i.e. GCRISC WSIPC etc.) for implementation of Qmlativ.
  2. Develop implement and maintain a detailed project plan outlining timelines milestones resources and deliverables; ensure all phases of the project are completed according to the defined timeline.
  3. Facilitate project management meetings; document and followup on actions and decisions.
  4. Drive the initial setup of Qmlativ in collaboration with HR/Payroll Fiscal and Student System departments.
  5. Develop project Communication Plan; develop training materials and distribute to appropriate users; schedule and/or conduct user training on new Qmlativ system.
  6. Ensure that appropriate District staff are involved with project planning and are kept informed and involved during project implementation and training.
  7. Provide technical assistance to appropriate departments to ensure projects adhere to existing District standards and needs; communicate issues to appropriate stakeholders to reach a solution.
  8. Make oral presentations to various groups and/or departments as needed.
  9. Coordinate training for endusers on the Skyward Qmlativ system.
  10. Provide support and troubleshooting assistance after upgrade is complete addressing any issues or concerns from end users.
  11. Investigate problems and complaints and resolve them within the scope of authority.
  12. Ensure projects comply with district practices applicable laws standards and regulations including developing necessary policies and procedures providing guidance and training and ensuring required procedures are carried out.
  13. Maintain an uptodate understanding of the overall operation of the district technology including all standard software applications used by the District and a working knowledge of hardware in order to troubleshoot issues.
  14. Travel and attend trainings workshops and conferences to maintain knowledge of new data systems.

OTHER RESPONSIBILITIES:

  1. Perform other related duties as assigned.
  2. Travel from location to location in order to accomplish project tasks.

TOOLS AND EQUIPMENT NECESSARY:

Computer/Laptop telephone copy machines FAX machine and all other tools and equipment necessary to perform the essential functions as listed above.

MINIMUM QUALIFICATIONS:

  1. Associates degree or higher and demonstrated experience or knowledge in a related field. Project management experience preferred.
  2. Demonstrated proficiency using computers Microsoft Office applications and computer database systems/software.
  3. Demonstrated ability to read and understand information systems terminology.
  4. Demonstrated experience in Skyward SMS and Skyward Qmlativ.
  5. Demonstrated ability to effectively communicate both orally and in writing in a clear concise manner.
  6. Demonstrated skillset in conflict mediation and problem resolution. Must possess excellent quality customer service skills.
  7. Demonstrated ability to set priorities coordinate activities maintain deadlines and assign work to internal departments and external agencies.
  8. Demonstrated ability to work independently be selfmotivated and work well under pressure.
  9. Demonstrated ability to relate and work effectively with staff and outside agencies and maintain effective and positive working relationships with others as part of a team.
  10. Possess effective decisionmaking and problemsolving skills.
  11. Basic understanding of IT concepts data communications and how information systems and software work together.
  12. Ability to gather and analyze facts draw conclusions define problems and suggest solutions.
  13. Ability to set priorities and assign work to other team members.
