About the Role:
We are seeking a highly organized and proactive Marketing & Operations Coordinator to support our North Florida offices. This position plays a key role in marketing support CRM training administrative coordination and crossdepartment communication. The ideal candidate is detailoriented techsavvy and comfortable managing a variety of responsibilities in a fastpaced environment.
Key Responsibilities:
- Pull and post daily performance numbers in designated team threads (marketing and operations).
- Monitor listen to and dispute online lead calls from platforms such as:
- Google Local Services
- 33 Mile Radius (when active)
- Inquirly (when active)
- Promotive Marketing
- Correct and update referral sources in PSA based on call reviews.
- Maintain and update records in PSA; support users with updates or changes.
- Track online lead source performance monthly via profit/loss reports.
- Track ROI across all marketing efforts.
- Maintain and correct Answer First (after hours phone service) as needed.
- Set up new hires with login credentials for PSA Encircle and CRM systems.
- Provide CRM training for new marketers and ongoing support for existing team members.
- Order and manage office and marketing supplies across multiple locations.
- Coordinate and order meals or treats for staff birthdays and anniversaries.
- Create and post engaging social media content and shoutouts for regional offices.
- Design flyers and marketing assets for sales representatives as needed.
- Manage and monitor Google Business Profiles for all North Florida offices.
- Distribute sales team credit card statements review expenses for policy compliance and submit to the GM.
- Assist in reconciling American Express statements monthly.
- Attend weekly sales meetings to take notes document changes and distribute meeting minutes to the team.
- Support the GM and Owner with various administrative and operational tasks as needed.
Qualifications:
- Strong organizational and multitasking skills
- Proficiency in CRM systems
- Experience with social media platforms and content creation
- Strong communication skills and attention to detail
- Basic financial literacy for expense tracking and reconciliation
- Proficient in Microsoft Office or Google Workspace
- Comfortable in a support role with high visibility across departments
