Job Description

Position Title: Ministry Assistant

Corps/Department: Kenai Peninsula Corps

Reports To: Corps Officers

FLSA Status: Fulltime; NonExempt

Scope of Position: This position will be responsible for a wide variety of detailed and advanced administrative duties requiring a high level of confidentiality and independence. All assignments will be performed using sound judgment and decision making skills while remaining in conformance with established Salvation Army policies and guidelines as well as general office practices.

Minimum Qualifications:

  1. High school or equivalent.
  2. Proficiency with computers and the Microsoft Suite.
  3. Strong proofreading skills and editing skills; knowledge of correct grammar and punctuation; ability to organize and prioritize tasks while working cohesively and collaboratively with coworkers supervisors visitors vendors and clients.
  4. Ability to maintain regular and punctual attendance and to demonstrate professional conduct at all times to include absolute adherence to confidentiality standards.
  5. Current Alaska drivers license with acceptable driving and criminal history reports.

Essential Functions:

  1. Understand and clearly support and promote the mission of The Salvation Army.
  2. Assist with the planning and implementation of adult and youth corps programming.
  3. Assist with written verbal and electronic communications including creating formatting and preparing a variety of official letters documents and forms.
  4. Prepare reports memos letters financial statements and other documents using Word processing spreadsheet database or internal/company software.
  5. Pick up open sort and distribute incoming correspondence including faxes mail banking information and email according to Salvation Army policy.
  6. Perform general office duties such as ordering supplies maintaining records management database systems and basic bookkeeping work.
  7. Answer phone calls and direct calls to appropriate parties or take messages.
  8. Assist in all personnel processes and records management including hiring scheduling and training.
  9. Assist with all aspects of seasonal events and programs.
  10. Drive (fleet vehicle no CDL required) weekly to pick up food from the Food Bank or other sources and/or deliver food and supplies to Family Services clients.
  11. Maintain mileage logs gas receipts and notifies Officers of any maintenance issues.
  12. Responsible for Family Services case management including preparation and distribution of food baskets/commodities.
  13. Keep all necessary Family Services records and inventories and file all required reports ensuring compliance with any State Federal and Salvation Army regulations.
  14. Implement the Pathway of Hope program for Kenai area.
  15. Keep Family Services area clean neat and tidy.
  16. Assist with relief at Thrift Store when necessary.
  17. Assists with all other duties as assigned.

Protect the Mission: Must complete the online course for this area and pass the Background Checks required by The Salvation Army for employment.

Driver Requirements: Must be a licensed driver with an acceptable driving history. Must also complete and pass The Salvation Army Driver Safety Course.

Work Environment: Work is performed in a heated and ventilated institutional setting. Noise level varies throughout the day. Exposure to extreme temperatures possible during pickups and deliveries but not on a normal basis.

Physical Demands:

  1. Ability to speak sit walk stand bend climb kneel and twist on an intermittent basis; to grasp reach handle finger push or pull objects.
  2. Ability to see and hear at normal ranges with corrective devices if necessary.
  3. Ability to lift and carry up to 50 lbs. or more with assistance.
  4. Ability to operate a motor vehicle in daylight darkness or in inclement weather conditions.

    Qualified individuals must be able to perform the essential duties of the position with or without accommodation.     Language Skills: Must be able to understand follow and give both written and oral instructions and be comfortable working with diverse individuals in facetoface contact and over the telephone. The employee must be able to use speech and hearing for ordinary and telephone conversation.

    Mathematical Skills: Must be able to perform simple calculations (additions subtraction multiplication and division) and apply concepts such as ratios and percentages in practical situations.

    Performance Skills: Must be creative selfmotivated organized flexible and possess leadership skills.
