TheAdministrative Assistantwill be a supplemental contract employee hired to work underclientstechnicaldirection.
RoleDescription:
Positionperforms tasksand clerical dutiesaccordingtogoal andobjectives.The Administrative Assistantprovides administrative support to a department or individual. Duties may include word processing filing faxing answering phonesreceivingand directing visitors scheduling financial record keeping coordinating meetings and conferences obtaining supplies and sorting/distributing mail. May work on special projects.
Job Responsibilities:
Finding efficient professionalcost effectivemethods ofassistingManagerin daytoday activities.
Professional attitude and handling of inquiries both verbally and in writing.
Accuracy excellent communication skills and attention to detail is imperative.
Procure office supplies;maintainfiles document meetings and manage travel arrangements.
Financial and accounting duties such as: purchase requisitions and purchase orders manage accounts payable invoice processing project setup in tracking software; monthly expense and capital data entry; and timesheet and payroll management.
Online management of expense reports and invoices.
Other duties such as: answering phone mail distribution and office equipment management.
Maintaining knowledge of available resources tofacilitateinformation flow for audits and general inquiries.
Performing duties safely and in compliance with all company federal state and local regulations.
Maintainingproficiencyin job functions and applicable software programs.
Performing other related tasks as requested or assigned.
Qualifications & Skills for Success:
Strong communicationskills and organizational skills are essential.
Familiarity with MS Office.
High school diploma or equivalent is.
Proficiencyin Microsoft Office software including Word Excel PowerPoint and Outlookare. Microsoft Access is preferred.
A minimum of 2 years experience working in a support and/or administrative assistant roleuspreferred.
