Overview

Nakupuna Solutions is looking for a Freedom of Information Act (FOIA) Coordinator. The EURIO/EX/GSD Professional Support Services team ensures the operational effectiveness of the Bureau of European and Eurasian Affairs (EUR) and the Bureau of International Organization Affairs (IO). These services provide comprehensive administrative analytical and programmatic support that enables both bureaus to carry out their diplomatic foreign policy and international development objectives efficiently and effectively. By supporting daytoday operations facilitating interagency coordination and ensuring compliance with Department of State policies and procedures these professional services help maintain the continuity and integrity of overseas posts and Washingtonbased offices.

Responsibilities

The FOIA Coordinator under the direction of EUR/EX is responsible for managing FOIArelated tasks on behalf of the Bureau specifically for requests initiated by or for A/IPS/GIS and S/ES. It involves coordinating and tracking information requests across multiple offices to ensure timely and accurate responses. The position requires strong organizational and communication skills to manage task assignments monitor progress verify completion and maintain accurate records within designated systems. It also includes resolving discrepancies supporting internal workflows and liaising with relevant stakeholders to ensure compliance with established procedures. The following reflects managements definition of essential functions for this job but does not restrict the tasks that may be assigned. Management may assign additional duties and responsibilities to this job at any time due to reasonable accommodation or other reasons. The ideal candidate will:

  • Receives and logs incoming requests for document searches and clearances.
  • Assigns search and clearance tasks to the appropriate offices within the Bureau ensuring timely and accurate delegation of responsibilities.
  • Monitors responses from assigned offices and conducts followups on delayed or outstanding submissions to ensure compliance with required timelines.
  • Verifies the completeness of submitted search results and helps as needed with uploading records into electronic systems such as erecords and FOIAXpress.
  • Consults with FOIAXpress erecords administrators to obtain and track the status of search submissions.
  • Enters and updates the status of each search request in the corresponding FX case files to maintain accurate and uptodate records.
  • Completes the FOIA tasking process by clearing EUR as a secondary user in FOIAXpress removing the Bureau from the assignment queue once search results have been submitted and properly recorded.
  • Coordinates with IPS analysts and managers to resolve issues related to incorrect task assignments to EUR and to address delays in the completion of FOIA search requests.

Qualifications

Skills/Qualifications: The ideal candidate will have experience creating and maintaining electronic records along with the ability to manage multiple tasks simultaneously while maintaining high performance standards under pressure. Proficiency in Microsoft Office applications is essential as is a strong working knowledge of records management policies and regulations including guidance from the National Archives and Records Administration (NARA) the Office of Management and Budget (OMB) and other applicable laws and best practices. The candidate should demonstrate the ability to accurately apply procedural guidelines possess excellent written and oral communication skills and exhibit strong attention to detail in all aspects of their work.

Clearance: Secret clearance is required. Must be a U.S. citizen.

Education and Experience:

  • High school diploma and between three and five (35) years of equivalent office management experience.
  • Must have at least 2 years of experience working with FOIA and basic understanding of the regulations.

Physical Requirements: The ideal candidate must at a minimum be able to meet the following physical requirements of the job with or without a reasonable accommodation:

  • Ability to perform repetitive motions with the hands wrists and fingers.
  • Ability to engage in and follow audible communications in emergency situations.
  • Ability to sit for prolonged periods at a desk and working on a computer.

The Nakupuna Companies use a marketbased compensation strategy to ensure that our employees are compensated within applicable market ranges commensurate with multiple factors including but not limited to the individuals particular combination of education knowledge skills competencies and experience as well as contractspecific affordability organizational requirements and position location. The projected compensation range for this position is $85000.00 to $100000.00 (annualized USD). The salary range displayed represents the typical salary range for this position and is just one component of Nakupuna Companies total compensation package for employees.
