Job Description

Job Summary:
We are seeking a detailoriented and organizedOffice Assistantto support our accounting operations with a focus onAccounts Receivable (AR)andAccounts Payable (AP). This position plays a key role in ensuring smooth financial transactions and supporting the daytoday office functions in our busysemitruck repair shop. The ideal candidate will have strong communication skills basic accounting knowledge and experience working in a fastpaced servicebased environment.

Key Responsibilities:

Accounts Receivable (AR):

  • Follow up on outstanding invoices and manage collections in a professional manner.

  • Apply incoming payments (checks ACH credit card) to appropriate accounts in QuickBooks or similar accounting software.

  • Maintain accurate AR records and communicate discrepancies with customers or internal teams.

Accounts Payable (AP):

  • Review and verify vendor invoices match with purchase orders and receiving documents.

  • Ensure timely payment of bills and maintain accurate payment records.

  • Monitor vendor accounts and resolve any discrepancies or billing issues.

  • Reconcile monthly statements and support monthend close processes.

General Office Duties:

  • Answer phones greet customers and provide general administrative support.

  • Assist in maintaining organized digital and physical filing systems.

  • Track times for technicians.

  • Help track shop supplies.

  • Coordinate with the shop team to ensure billing aligns with repair orders.

Qualifications:
  • High school diploma or equivalent required; coursework in accounting or business preferred.

  • 13 years of experience in accounts receivable/payable or similar office support role preferred.

  • Experience with QuickBooks (or comparable accounting software) strongly preferred.

  • Proficiency in Microsoft Excel Word and basic office software.

  • Strong attention to detail organizational skills and ability to manage multiple priorities.

  • Experience in automotive trucking or repair industries is a plus.

Working Conditions:
  • Office environment located onsite at the repair shop.

  • Occasional interaction with technicians parts suppliers and customers.

  • Monday to Friday schedule with occasional flexibility depending on workload.

Compensation:
Hourly pay with opportunities for growth. Benefits may include health insurance paid time off and employee discounts.
