Job Description

Office and Admin Services Coordinator is responsible for ensuring the smooth and efficient operation of daily office functions. This role plays a key part in managing administrative processes supporting crossfunctional teams and creating a wellorganized functional and welcoming workplace environment. Coordinator works closely with the Admin Assistant ensuring strong collaboration and seamless coordination of office and administrative tasks.

Office and Admin Services Coordinator will report to Monika Napieralska EMEA GBS Engagement & Communication Manager and Administration Lead.
Responsibilities:
  • Coordination of daily office operations and administrative processes including reception services parking and office access management.
  • Managing vendor relations ensuring proper maintenance and ordering office supplies
  • Organization of internal meetings business events and guest visits team integrations and celebrations.
  • Preparation of monthly reports on office costs budget and administrative KPIs
  • Handson support for onboarding offboarding workspace planning and wellbeing programs
  • Support in ensuring compliance with internal policies health & safety standards and administrative procedures.
  • Coordination of documentation flow archiving and correspondence
Requirements:
  • 2 years of experience in office coordination or administrative support
  • Fluency in English and Polish (spoken and written)
  • Proficiency in MS Office (Word Excel Outlook PowerPoint)
  • Strong organizational and communication skills; public speaking experience is an advantage
  • Project coordination skills with the ability to manage tasks and timelines efficiently
  • Proactive attitude problemsolving skills and ability to work independently with a continuous improvement mindset
  • Willingness to work 5 days per week from the Pozna office
  • University degree (preferably in Administration Management or related field) is a plus
