As an Executive Assistant you will be able to contribute to the success of our Investment Banking team through administrative and operational support clientrelationship management and event organization.
The ideal individual will provide administrative support to our Managing Directors and a team of Investment Bankers. Some of these duties may include supporting the bankers calendars scheduling meetings/calls arranging travel processing expenses and monitoring phases of deal processes. You will tap into your analytical skills by researching and compiling data and vital communications to complete tasks. A key to your success will be developing and maintain strong relationships. As an Executive Assistant you will be:
Manage multitimezone diaries organize meetings and coordinate conference calls.
Handle daily correspondence and email management.
Arrange UK and overseas travel creating detailed itineraries and managing changes.
Provide administrative support for live deals under tight deadlines.
Serve as the primary contact for deal administration by managing Salesforce lists coordinating meetings and travel monitoring emails tracking buyer activity and updating deal information to generate customized reports.
Organize events including venue research logistics and budget management.
Process and submit team expenses promptly.
Foster excellent client relationships.
Offer general administrative support as needed.
Assist visiting colleagues from other Baird offices.

What we look for:
Strong IT skills fluent in major office applications (Outlook Word PowerPoint Excel)
Experience with Salesforce and SharePoint is a plus
Ability to multitask effectively under pressure with drive and energy
Strong client service focus and excellent teamwork skills
Excellent organizational and administrative abilities
Detailoriented accurate and able to meet deadlines
Strong written and oral communication skills capable of managing up and down
Assertive decisionmaker with good initiative
Experience in Investment Banking or comparable highenergy settings.
Proficiency in additional languages is advantageous.
