Main Duties and Responsibilities:
- Supervise and give daily guidance and direction to the mail room employees through leadership skills and leading by example.
- Must demonstrate leadership qualities while resolving interpersonal conflicts and nurturing team work among the diverse team
- The Supervisor will address general attendance and dress code concerns nonescalated employee concerns manage the client mailroom relationships with an understanding of the mail received per department.
- Manage onsite training of new hires and continuous training of current employees
- Escalate concerns with daily operations in a timely manner
- Manage site technical concerns and escalate appropriately
- Learn all aspects of mail operations while working along side the team. In the case of employee nonattendance must be able to perform the workload of the team.
- Scan all incoming mail and packages for dangerous goods
- Manage both domestic and international outgoing shipments ensuring proper accurate and timely dispatch of outbound shipments following all proper DOT regulations and customer requirements.
- Work the service window during core business hours MF 85PM
- Operate Postage machine to process mail including a high percentage of certified mail.
- Control inbound and outbound accountable packages using package tracking software while meeting company SLA.
- Using client policies scan critical mail into DMS while processing all incoming postal mail per guidelines
- Process all materials received at the dock (receive review receipt document process prepare identify separate deliver transport etc.) while inspecting deliveries for suspicious or threatening items. Ensure proper accurate and timely receipt of inbound deliveries.
- Keep the work area clean and organized
- Ensure adherence to business guidelines safety & security procedures
- Oversee and manage mailroom equipment
- Keep Millennium Group Management informed of operational efficiencies and potential problems.
- Collect data for reports and prepare monthly reports for management.
- Assist in preparation of annual employee appraisals and evaluating daily performance. May include coaching and counseling of an employee and providing constructive feedback and recognition to the teams as appropriate. Develop team strengths and improve weaknesses
- Utilizes knowledge of company culture operations policies procedures in performing duties with minimal direction/supervision.
- Handles formal contact with the customer on a daily basis
- Conducts themselves at all times as the public image of the company in accordance with the
- Companys code of ethics.
- Ensure the highest levels of customer care.
- Work close with the Client leadership Team on additional tasks that may be assigned or site related
Qualifications:
- Must have Associates Degree or 5 yrs. of shipping receiving Mailroom and logistics experience
- Great knowledge of USPS process meter machines and scanning documents
- 2 years supervisory experience preferred
- Must have excellent working knowledge of shipping receiving and logistics services.
- Excellent knowledge of Fed Ex shipping and other shipping software with an emphasis on international shipping.
- Good working knowledge of Windows including Excel Word and outlook
- Flexibility and willingness to adapt to frequently changing priorities/tasks
- Excellent communication skills both verbal and written with a high level of customer service skills
- Ability to demonstrate a high level of problem solving skills
- Able to set priorities and motivate others.
