Summary:
Responsible for daytoday activity around sales orders customer service and paperwork; includes scheduling inputting work orders transportation and retrieval of documents filing and reviewing documents for errors.
Duties and Responsibilities:
- Update product information in the system. (Communicating with Master dataFusion)
- As needed collect paperwork at the scale house for processing reports and invoices.
- Daily entering feed tonnage shipped by customer and daily feed production to Excel spreadsheet. Provide customers contract balance and feed inventory on hand.
- Filing orders up to date for each customer.
- Upon receiving POs create releases outlining each customers individual requirements.
- Serve as the main point of contact for daily tasks with various transportation companies (tankers refrigerated trucking containers).
- Coordinate logistics for inbound and outbound shipments according to the desired shipping schedule. Communicate with freight forwarder customer shipping scale and inventory control throughout the PO process until it leaves the plant or arrives to the plant if it is inbound.
- Oversee HAZMAT loads ensuring compliance with shipping regulations including proper labeling placards and UN numbers.
- Maintain database with customers names addresses and all necessary individualized paperwork in the program Access. For release creation.
- Go through the detailed process when requesting new customers to be added in the system.
- Go through the detailed process for adding new vendors.
- Fill the bulk loads report.
- Enter/Create orders in the system (Order Management)
- Assist Sales Coordinator with manual invoices when needed.
- Customer service when needed.
- Any additional task needed.
Qualifications :
Qualifications
- Proven administrative skills.
- Excellent computer skills and familiar with current software packages such as Microsoft Word Excel and Outlook. Experience with Oracle a plus.
- Multitasked able to handle multiple duties at one time deal with interruptions well.
- Able to meet deadlines and work under pressure.
- Selfstarter and can work without direction at times.
- Language: Fluent in English and Spanish both in verbal and in written form.
- Ability to maintain the highly confidential of the work.
- Tact above average communication skills ability to work effectively with both employees and managers.
