Job Description


Institutional mission:
Nelson UniversityAmerican Indian College is a Christfocused and culturally diverse community dedicated to equipping both Native and NonNative students for Christian Ministry Marketplace Leadership and Service to the world.
OVERVIEW:
This is a hybrid position involving two roles. 50 of the position will be as AIC Admissions Counselor and 50 will be as Student Services Coordinator. This position will report to the Nelson AIC Vice President for Student Development and Director of Administrative and Student Services.
As Student Services Coordinator this position will provide essential support to students in various aspects of their educational experience. On the AIC campus this role is multifaceted and represents the following offices for students: registrar financial aid and student billing.
As Admissions Counselor this position will be responsible for attracting recruiting and maintaining a diverse student body consistent with the universitys goals and objectives in a strategic manner and effectively presenting accurate information about the university to prospective students their families and others who influence the college decision.

Major Responsibilities:
50 Admissions: purpose to help grow and expand student numbers at Nelson AIC.

10 Travel to represent NELSON AIC in various capacities outside of the University for the purpose of recruitment. Job consists of approximately 20 external travel.
Plan coordinate and execute recruitment travel to represent the University at: college fairs college preparedness events community colleges school visits churches (e.g. Sunday mornings Wednesday evenings etc. church related events (e.g. District Youth Conventions Fine Arts Festivals retreats etc. home visits social events and other types of events/venues
Assist in the strategic selections of which events to attend
Develop nurture and maintain relationships with key constituents who play a role in influencing potential students on their choice of school (e.g. guidance counselors youth pastors youth leaders pastors etc.
Train equip and manage students who travel and represent the University through the office of Admissions
20 Consistently communicate while in the office and in the field via personal counseling written correspondence email telephone text messaging social media etc. with prospective students parents and others providing admissions counseling information about the university (which may include but is not limited to admissions requirements academic programs/curriculum financial aid scholarships campus culture campus housing and student life).
Respond to all inbound communications in a timely manner
Plan coordinate and execute on the outbound communication plan in a timely manner which includes communication to and connection with students in each stage of the admissions process via personal counseling written correspondence email telephone text messaging social media etc.
Reach out to schools/colleges guidance counselors pastors etc. as needed to clarify information and gather missing data for the student file
10 Execute campus visit experiences to ensure prospective students and their families understand the value of a Nelson AIC education and have a positive experience while visiting Nelson AIC.
Host visiting students and families for individual campus visits by presenting impactful and relevant information and thoroughly and accurately answer questions regarding: admissions requirements academic programs/curriculum financial aid scholarships campus culture campus housing student life and any other area guests would like to discuss
Represent Nelson AIC in a professional and friendly manner
Be available for unplanned walkin campus visitors
Facilitate and encourage opportunities for the prospective student and family to attend chapel classes the cafeteria meet with a professor or coach or participate in other special interests a student has interest
Assist in the planning and of College Days group visits and other special visit events
Be aware of events on campus and in our community/area that could be of interest to our guests
10 Accurately and efficiently process incoming data for prospective undergraduate students and provide quality control for data accuracy within the admissions information system.
Receive verify and process all admissions materials including but not limited to the application for admission recommendations high school transcript and ACT/SAT scores.
Receive verify and process all enrollment materials including but not limited to the housing application immunization forms and final high school transcripts.
Create/edit and maintain all student records in the admissions information system for both prospects and applicants.
Verify applicant information against admission information system database including but not limited to deduping student records verifying school information and verifying church information.
Accurately evaluate transcripts develop degree plans and communicate said information to students in a timely manner
Miscellaneous responsibilities
Develop nurture and maintain positive and healthy relationships with campus community
Other responsibilities as assigned by the Nelson AIC VP for Student Development and Director of Administrative and Student Services.
50 RegistrarFinancial AidStudent billing
The registrar position on the Nelson AIC campus is primarily a three folded position. It is made up of the actual registrars office the financial aid office and the student billing office. There are some various office duties that will be picked up simply because of your proximity to the Director of Administrative and Student Services.
20 Registrar: The purpose of an academic registrar is to oversee and manage all aspects of student records and registration processes within an educational institution. They are responsible for maintaining accurate records ensuring compliance with academic policies and facilitating the students journey from enrollment to graduation.
Registrar Tasks
Register students for proper courses
Review SAT/ACT/ACCUPLACER scores for proper course placement
Review transcripts
Review degree audits and be able to explain them and review them with students
Advise students on which courses they should take
Communicate with main campus about students and courses
Provide proper forms for students when needed (i.e. change of program form)
Help students approve their bills so that they can be students at Nelson AIC
Reach out to students and encourage them to get registered
Help students understand their student portal
Understand how to use CAMS Slate and the SQL server (will learn once hired)
Know how to navigate through our systems to provide student with the information they need
Print course schedules
Enforce institutional policy with everyone
Abide by FERPA guidelines
15 Financial Aid: The primary purpose of an academic financial aid office is to assist students and their families in funding their education by providing information resources and guidance on various financial aid options. This includes federal state and institutional aid as well as private scholarships and loans.
Financial Aid Tasks
Explain to students what FAFSA is
Help students accept loans
Communicate with main campus about student financial aid information
Help students complete FAFSA forms (i.e. Master Promissory Note Entrance Counseling)
Help students understand their loans
Explain to students how they can accept their bills pay their bills
Enforce institutional policy with everyone
Abide by FERPA guidelines
15 Student Billing: The Office of Student Billing is responsible for the collection and billing of tuitionrelated charges.

Know how to find a students bill
Explain the charges on a student bill
Explain to students how they can accept their bills and pay their bills
Explain student responsibility for paying student bills in timely manner
Communicate with main campus about student bills
Enforce institutional policy with everyone
Abide by FERPA guidelines
Miscellaneous Tasks as Student Services Coordinator:
Answer the office phone as it rings and properly direct calls
Help direct people in the right direction when they come into our building
Know how to use Canva for various flyers
Be closely connected to school email because all communication come through it
Attend Zoom meetings with main campus Registrar/Financial Aid/Student Billing offices as they come up
Keep office clean and dispose of trash weekly
Sometimes work earlier or later hours depending on Registrar/Financial Aid deadlines (this is typically only at the beginning of the semesters; the first week of school)
Communicate well with staff and faculty on BOTH campuses
Sometimes collect mail and deliver it to Director of Administrative and Student Services
Sometimes sign for student packages
Always be friendly with students and parents and communicate well with all of them
Abide by FERPA guidelines

Qualifications:
Candidate must be an openly committed Christian living a Spiritfilled life and be an active attendee of an Assemblies of God church.
Bachelors Degree from an accredited college/university is highly preferred. Candidate must demonstrate strong verbal and interpersonal communication skills to effectively interact with students parents staff faculty and prospective students; further the candidate must also demonstrate strong written communication skills. A strong customer service orientation is essential.
Candidate must possess strong organizational and timemanagement skills with the ability to prioritize and manage multiple tasks concurrently as well as being a selfstarter. The ability to be flexible and adapt quickly to changing priorities is essential.
Candidate must possess a valid drivers license with a clean driving record.
Candidate must possess a strong knowledge of MS Office (Word Excel) and grammar. Must also possess a strong working knowledge of and experience with MS PowerPoint.
