Job Summary:
The Executive Secretary provides highlevel administrative and organizational support to the Honorary Consul. This role ensures the efficient operation of the consulate s office and represents the consulate professionally in interactions with government agencies business entities and the local community. The Executive Secretary also assists in promoting cultural economic and diplomatic initiatives on behalf of the represented country.
Key Responsibilities:
- Manage the daily schedule correspondence and communications of the Honorary Consul.
- Draft and prepare official documents reports and diplomatic communications.
- Handle telephone and email inquiries and ensure timely and professional responses.
- Organize meetings events and official receptions; coordinate logistics and guest lists.
- Maintain uptodate records and files both physical and digital.
- Liaise with local government offices embassies consulates and international organizations.
- Assist in consular services including issuing letters of introduction facilitating visa applications or notarizing documents as needed.
- Support cultural and trade promotion activities initiated by the consulate.
- Manage social media and public relations activities including writing press releases or updates.
- Handle basic financial records budgets and expense reports.
- Uphold the image and interests of the consulate with discretion and professionalism.
- Travel to within the country and outside the country if necessary

Requirements
Qualifications:
- Bachelors degree in International Relations Business Administration Communications or a related field.
- Minimum of 3 years of experience in administrative support preferably in a diplomatic governmental or international setting.
- Strong verbal and written communication skills in language of represented country and English.
- Excellent organizational multitasking and timemanagement abilities.
- Proficient in Microsoft Office Suite and basic database systems.
- High level of discretion integrity and cultural sensitivity.
Preferred Skills:
- Prior experience working in a consulate embassy or international organization.
- Familiarity with protocol and diplomatic etiquette.
- Event planning and coordination experience.
- Fluency in additional languages is a plus.
