Job Description

As an Administrative Assistant you will provide comprehensive support to a group of senior leaders in a fastpaced trading and research environment. You will work directly with one of our largest trading teams and play a critical role in ensuring strong communication across the organization. This role will also be highly involved in planning and executing events to foster team camaraderie.

This position requires onsite work from our Chicago office at least four days per week.

Your Core Responsibilities:

  • Provide daytoday administrative support for 4 senior managers; provide additional support to other team members within the organization as needed.
  • Manage complex calendars schedule meetings and coordinate schedules across time zones (including meeting agendas and meals when necessary).
  • Coordinate onsite logistics for meetings and presentations such as audio/visual meeting rooms agendas and meals as needed.
  • Manage travel logistics and activities including accommodations transportation and meals.
  • Manage and submit business expenses and prepare reports on such as needed.
  • Assist Chief of Staff with internal and external communications activity and event planning and space planning.
  • Liaise with Events team on event logistics venues transportation menus etc.

Your Skills and Experience:

  • 4 years of experience in an administrative role supporting senior managers; experience supporting multiple people preferred.
  • Must be highly organized and detailoriented with an ability to manage multiple individual preferences and requirements.
  • Excellent written and verbal communication skills.
  • Strong time management skills and an ability to organize and coordinate multiple concurrent projects.
  • Proficiency with MS Office suite (Outlook Excel Word) and an aptitude for learning new software and systems.
  • Flexible team player willing to adapt to changes and tackle new challenges.
  • Ability to handle confidential and sensitive information with discretion.

The Base Salary range for the role is included below. Base salary is only one component of total compensation; all fulltime permanent positions are eligible for a discretionary bonus and benefits including paid leave and visit Benefits US IMC Trading for more comprehensive information.
