General Overview: The Executive Assistant will provide highlevel executive administrative and developmental support to the coowners/CEOs of the company. The ideal candidate is a dynamic critical thinker with exceptional attention to detail thriving in a fastpaced and highpressure environment. This role requires someone who is flexible adaptable and resourceful able to handle undefined tasks and think on their feet. Essential Functions: - Provide executive support to the coowners/CEOs ensuring efficient operations and communication.
- Manage complex scheduling including travel bookings and calendar coordination.
- Assist with email management and organizational tasks for the coowners.
- Track and manage monthly expense reporting for the CEO.
- Conduct detailed research and manage undefined or complex tasks with minimal direction.
- Handle inbound calls coordinate with vendors and manage scheduling for various stakeholders.
- Use GSuite for administrative tasks such as communication and document management.
- Utilize Asana for project management and task tracking.
- Assist with investor relations including preparing memos and other communications.
- Coordinate and oversee real estate and constructionrelated administrative tasks.
- Manage scheduling for interviews and the recruitment process.
- Assist with onboarding and training new team members.
- Coordinate and manage special projects or programs as needed (e.g. internships events).
- Perform additional administrative tasks as required.
Required Skills & Qualifications: - Strong business English communication skills (C1 level).
- Experience with CRM platforms such as Asana Expensify and GSuite.
- Exceptional research skills and the ability to manage complex tasks independently.
- Ability to handle highvolume inbound and outbound calls for team and vendor coordination.
- A background in real estate or construction management is strongly preferred.
- At least 12 years of experience in an administrative role preferably supporting senior executives.
- High degree of professionalism discretion and confidentiality.
- Ability to adapt to a fastpaced environment while managing multiple priorities.
- Proactive problemsolving approach with strong critical thinking skills.
- Ability to become a notary (if not already).
- Strong planning time management and organizational skills.
Preferred Qualifications: - Experience in real estate and construction industries.
- Prior experience supporting a CEO or executive leadership team in a fastpaced environment.
