    PRIMARY PURPOSE:
    The Board Relations Specialist performs specialized and confidential duties to the Board ofTrustees and provides administrative support assuring the efficiency of all functions anrations delegated to and for the Board of Trustees and Superintendent.

    QUALIFICATIONS:
    Education/Certification:

    Associates Degree or 2 years of college preferred

    Special Knowledge/Skills:
    Knowledge of school district organization operations and administrative policies
    Knowledge of laws policies rules regulations and procedures related to Board of Trustees dutiesand activities.
    Interpret apply and explain pertinent laws regulations rules policies andprocedures.
    Familiar with and/or knowledgeable of Texas Education Code and Statutes.
    Proper English usagespelling grammar and punctuation.
    Excellent writing editing and proofreading skills.
    Excellent organizational skills with strong attention to detail.
    Ability to successfully manage multiple priorities in a deadlinedriven environment.
    Ability towork independently with little supervision.
    Ability to multitask meet deadlines and work effectively under pressure.
    Ability to use good judgement and discretion in decisionmaking and management of tasks.
    Advancedproficiency in Microsoft Word and basic proficiency in Excel and Database.
    Knowledgeable in Microsoft Outlook 365
    Ability to send and receive email correspondence
    Experience:
    Three 3 years of experience as an administrative secretary

    MAJOR RESPONSIBILITIES AND DUTIES:
    Develop and post official board agendas for regular board meetings special called boardmeetings board committee meetings board workshops and public hearings in accordance with theTexas Open Meetings Act.
    Develop and maintain official board minutes for regular board meetings special called boardmeetings board workshops and public hearings.
    Maintain official board meeting minutes in permanent records as identified on the retentionschedule.
    Post all agendas on district website using TASB BoardBook software.
    Monitor submit and maintain the continuing education credit hours for all board memberskeeping track of required CEC hours for new board members and experienced board members.
    Keep informed regarding state and federal requirements for posting agenda requirementsrecording and developing board meeting minutes and maintaining CEC hours
    Prepare all correspondences memorandums and reports for board members.
    Prepare and distribute board meeting packets and materials for board members and specificadministrators.
    Send and receive email correspondence
    Compile information and prepare reports as needed
    Maintain adopted local board policies and serve as board policy contact with TASB to ensureadopted policies are updated in a timely manner.
    Distribute board materials to administrators and principals.
    Attend on and offsite meetings of the board.
    Keep board members informed of important matters and directs their attention to significantcorrespondence or matters that require their attention.
    Coordinate all transportation hotel business and social arrangements for board memberstraveling on District business and prepare and process expense reimbursement for board members.
    Monitor deadlines follow up on delegated tasks and provide appropriate reminders.
    Maintain accurate and updated contact and distribution lists.
    Reception and Phones
    Send and receive telephone/fax and electronic correspondence
    Maintain boards calendar
    Other
    Maintain physical and digital files including board minutes and closed session records
    Maintain positive public relations
    Order and maintain supplies as needed for board meetings
    Maintain confidentiality of information
    Perform general office routines and practices such as but not limited to typing handlingcorrespondence maintaining files processing incoming/outgoing mail and emails
    Attend all board meetings and board committee meetings; take transcribe and typeminutes.
    Order meals for the board meetings
    Prepare for board room having all equipment and materials necessary for each meeting
    Maintain an archival system for district board minutes closed session minutes electronicmemory cards board agendas and all related documents
    Maintain a calendar and coordinate arrangements for board meetings conferences workshops andall travel for board members
    Performs all duties in a safe manner to avoid injury to oneself and/or to others.
    Performs other related duties as assigned.
