BELA Charter School
Brooklyn Emerging Leaders Academy Charter School (BELA) a new allgirls high school located in Bedford Stuyvesant Brooklyn focused on SISTERHOOD SCHOLARSHIP STRENGTH and SERVICE is deeply committed to a 100 of our students completing college. Founded on the belief that academic and life preparation is equally as important; each BELA young woman will embark on her own personal and intellectual journey. The Role
The Student Operations Manager ensures the school office effectively serves and supports students parents school staff and the Bedford Stuyvesant community. Reporting to the Chief Operating Officer this role is responsible for overall school operations including receptions oversight inventory control and facilities management.
The position is a fulltime 12 month position with a start date of early July 2025.
Teachers and Staff members at BELA will:

Collaborate with fellow teachers students and school leadership to build the school from the ground up
Share in the leadership of the school by taking on essential roles in addition to teaching

Design facilitate and participate in experiences and conversations that relate to race gender class and sexual identity in ways that empower students and foster community
Primary Responsibilities:
Attendance
Ensures the accuracy of students daily attendance as well as tardy and early leave logs
Works with the Student Life Team and EmpowerMEnt team to ensure attendance is completed timely and accurately each day
Supports the goal of achieving a high Average Daily Attendance by communicating expectations of attendance to families managing chronic lateness and absent letters and supporting on attendance related incentives and activities.
Student Information & Data
Maintains and updates student profiles in BELAs Student Information System ALMA.
Manages student transfers and withdrawals
Manages student transportation needs and is the liaison with OPT
Maintains student records (paper and digital) in accordance with federal and schoolbased policies as well as audit guidelines
Manages ATS (new enrollments transfers immunizations etc.
Monitors records verification of incoming students prepares withdrawal forms for transferring students
Ensures confidentiality and security of office space files and all information pertaining to students parents staff and community
Immunization and Medical records
Collecting payments (field trips broken devices)
Report card management
Student Recruitment Lead
Design and execute a marketing and operational student enrollment strategy that enables school to reach enrollment targets
Oversee marketing and communication campaigns for enrollment plans
Train seasonal recruitment staff in enrollment tactics and strategy
Manage recruitment team enrollment initiatives and delegate when necessary to ensure success
Student and Family Relations Lead
Welcomes and attends to school guests prospective and current families
Upholds and maintains a positive nurturing achievementoriented school culture
Builds relationships with families to keep them wellinformed and support their needs
Attends to student health needs in partnership with the school nurse
Seeks and implements feedback from stakeholders (parents peers manager etc. and offers feedback in an honest respectful and timely way
Participates in evening family events (including but not limited to Student Led Conferences Summer Programs
Issues student working papers upon application completion
Office Operations
Organizes secures and maintains a pristine office space and environment
Directs phone calls and guests warmly and professionally
Assists with coordinating travel arrangements field trips and other student and schoolwide events
Assists in ordering purchasing receiving and organizing materials
Supports all schoolbased communication systems
Supports with the maintenance of the supplies in the Welcome Center
Supports with distribution of mail and packages
Qualifications
Bachelors degree or equivalent experience is required; Masters degree preferred
Bilingual and able to read write and speak Spanish preferred
Prior school and/or administrative experience preferred
Excellent communication skills both oral and written
Excellent organizational planning and implementation skills
Ability to establish relationships and communicate effectively with multiple stakeholders;
Strong working knowledge of Automate the Schools (ATS) system
Strong working knowledge of Microsoft Excel and Word and google apps.
Experience with managing and entering data with at least 95 accuracy; familiarity with data management systems a plus
12 years of office management administrative or executive assistant experience
Energetic and flexible professional who doesnt mind wearing multiple hats
Able to work independently with little or no supervision
Excellent time management skills and ability to multitask and prioritize work
Impeccable attention to detail and problemsolving skills
Demonstrated ability to make decisions thoughtfully and work well under pressure
