Job Summary:The service department receptionist is responsible for providing exceptional customer service and administrative support within the service department. The role includes answering a multiline phone system interacting with customers and aiding in the success of the guests of the dealership and service department. It also involves greeting customers scheduling appointments managing service records moving vehicles when needed and ensuring smooth communication between customers and the service advisors. This role is Monday through Friday 8:00 am 5:00 pm with an hour for lunch.

Responsibilities(include but are not limited to):

  • Answer incoming phone calls professionally and happily.
  • Perform data entry.
  • Handle special projects as assigned.
  • Greet and assist customers in a friendly and professional manner.
  • Schedule service appointments and manage the service calendar.
  • Maintain and update customer service records and files.
  • Communicate effectively with service technicians to relay customer concerns and service requests.
  • Moves and parks customers vehicles as needed.
  • Respond to emails and handle customer inquiries promptly.
  • Process payments and handle billing inquiries.
  • Ensure the reception area is clean organized and welcoming.

Qualifications:

  • High school diploma or equivalent.
  • Excellent customer service and communication skills.
  • Strong organizational and multitasking abilities.
  • Basic computer skills including familiarity with scheduling and billing software. Reynolds and Reynolds experience is a plus.
  • Previous experience in a customer service or administrative role is preferred.
  • Dealership experience is not required but preferred.

  • Cash Handling Experience
  • Good understanding of basic mathematical concepts

  • Microsoft Office experience
  • Switchboard/multiline phone system
  • Ability to multitask
  • Selfstarter with good problemsolving skills.
  • Ability to work independently or with a team.
  • Possess strong communication skills both written and verbal.
  • Maintains a professional appearance and neat work area.

Work Environment:

  • Fastpaced service department environment.
  • Regular interaction with customers service technicians and other staff members.
  • May require standing for extended periods walking to and from the lot parking cars and occasional lifting of light office supplies.

Pay is commensurate with experience.
