You will be updated with latest job alerts via emailThe Medical Office Coordinator (MOC) facilitates patient reception and departure from the practice while ensuring positive interactions between administration employees customers and outside services. The MOC is responsible for training and overseeing front office staff maintains compliance with practice guidelines and the highest level of professionalism. The MOC ensures a health care setting and model of care that facilitates our partnership between patients physicians and health care teams emphasizing accessibility comprehensive and coordinated care with continuous quality improvement.
Essential Functions:
Obtain new patient information sheets personal medical history questionnaires a copy of the patients insurance card and photo ID. Verify demographic information in computer. Collect fees due at the time of service and present the patient with a receipt. Notify nursing staff and/or providers of patients who present with medical emergencies or contagious illnesses.
Ensure proper collection of patient data insurance verification etc. needed for clean claim processing and collection of copays and outstanding patient balances.
Assist patients or family members with completion of HIPAA and patient information forms. Follow all HIPAA laws related to confidentiality lowering voice to ensure confidentiality of patient medical information.
Inform patients of costs of care being provided and guide them to appropriate resources for further information guidance or assistance.
Keeps patients and family members informed of their wait time.
Ensure all necessary forms are completed by patients and recorded/scanned in Meditech.
Help improve patient portal enrollment to help achieve Meaningful Use requirements.
Informs staff when scheduled patients have arrived through Meditech.
Relay information to patients regarding preparation for laboratory tests and future Office visits.
First point of contact for the Front Desk departments for insurance issues collection of funds medical records scanning/indexing questions and all other questions
Direct communication with the CBO EPM trainer in regards to insurance updates and passes this information on to others
Schedules followup appointments if necessary.
Enters the patient into the Recall Database if needed. Assist the patient with simple billing questions. Direct patients to the Billing Office if necessary.
Receive medical records and other documentation from patients scan and forward to the chart room for completion.
Register new patients with accuracy and obtain all necessary demographic and billing information.
Balances amount received from patient and amount shown in Meditech. Sends payment report and adding machine tape by courier to billing office daily. Accurately maintain Cash drawer.
Is courteous and polite when speaking to people on the phone
Takes accurate phone messages and tasks them to the appropriate provider or staff member to address.
Completes various request forms for office supplies and equipment.
Scan/Index documents accurately. Train front desk staff to others to scan and index forms.
Troubleshooting on the spot.
Trained to work in ALL locations. Substitute self when an employee calls out for a shift. Flexible work hours.
As needed and if skills allow fills in for clinical staff during times of call outs staff shortage etc.
Define areas of concern issues and work with administration for resolutions. Liaison between front office staff/issues with administration and/or clinical departments.
Track all errors from billing with insurance issues not collecting balances and batching errors. Periodically runs Missing Documents and Procedures Unbilled Encounters and other relevant reports to make sure charges are being captured. Interfaces with CBO to resolve issues as needed. Assists Practice Manager in tracking copay collection rate days in A/R and other relevant metrics.
Maintain control of patients within the Recall database to ensure patients return for continued care; ensuring patient satisfaction as well as increased office finances. Generate letters and processing as needed.
Reviews daily reports from the RTS system within Meditech to ensure insurance eligibility for patient with upcoming appointments.
Ensuring that all forms for the Front Office departments are HIPAA regulated and in compliance across Frederick Health.
Ensures that all front office departments are complying with NCQA guidelines and PCMH standards. Prepare activity reports to inform management of the status and implementation plans of programs services and quality initiatives.
Train/shadow ALL new employees according to policies and procedures. Pair each employee up with another employee for a few weeks or as deemed fit depending on trainee. Train employees through the ICS system to open existing batches and process clinical documents. Coordinates training with all departments and CBO EPM trainer. Schedules opportunities for additional trainings.
Maintains statistics for front office departments to ensure goals are being met and processes are running smoothly and efficiently
Create and enter schedules into API system. Make any changes in schedules as they occur. Correct any mistakes in the system. Evaluate time cards in API for accuracy/prepare for review by Practice Manager on Sunday for approval by Monday A.M. the week of payroll. Complete exception logs for the front staff if necessary and send out for signature processing.
Overseeing Front Desk Receptionists document front desk errors provided by CBO report back to staff train and retrain as needed. Initiate disciplinary actions as needed with the Practice Manager.
Coordinator is an example of professionalism adhering to the pillars of excellence.
Constant Team Player. Attends all staff meetings and contributes to these meetings.

Pay is based on experience skills and education. If position is parttime salary will be prorated based on scheduled hours. The pay range may also vary within the stated range based on specialty if applicable. NonExempt positions may have shift differential and/or Overtime paid if applicable.
Pay range: $19.57$27.77
Hours: MondayFriday 7:304:00 and/or 8:305:00.
