Reporting to the Department Chair the Department Coordinator is responsible for monitoring the daily operations of the PsyD program and providing highlevel administrative support to the Program Chair Associate Chair faculty and students. This role serves as the primary point of contact for PsyD students and faculty ensuring excellent customer service timely response to inquiries and appropriate referrals as needed.
Education/Experience:
Required:
Bachelors degree in Psychology Higher Education Administration Business Administration or a related field.
35 years of administrative or academic program support experience preferably within a higher education environment.
Preferred:
Masters degree in Higher Education Administration Counseling Psychology Business Administration or a related field.
Experience supporting faculty academic processes (e.g. dissertations licensure preparation accreditation activities) and student advising functions.
Familiarity with FERPA regulations and best practices in student records management.
Essential Duties and Responsibilities
Program Operations and Student Support
Serve as the primary liaison for PsyD students and faculty addressing inquiries and concerns promptly and professionally.
Develop and implement process improvements to streamline workflow and increase efficiency.
Assist students and faculty with room reservations exam proctoring and test room assignments.
Comprehensive Qualifying Exam Management
Manage ACQE and ICQE processes for second and thirdyear PsyD students.
Vet submissions for completeness and assign exams to faculty reviewers based on area of expertise and practicum client age.
Notify faculty and students of assignments track deadlines and follow up as needed.
Record and report CQE results to students faculty advisors the Program Chair and Registrars Office.
Maintain comprehensive CQE databases for tracking purposes.
Dissertation Administration
Serve as Adler Universitys ProQuest ETD Administrator for PsyD dissertations.
Manage all aspects of dissertation submission communication notification and publishing.
Maintain dissertation tracking databases and liaise with Registrar and Academic Affairs to confirm degree completion.
Licensure Study Materials (EPPP) Management
Oversee order management and fulfillment process for EPPP licensure materials for alumni and graduating students.
Verify eligibility maintain tracking sheets and handle invoice processing.
Faculty Advisor Assignment
Manage faculty/student advisor assignments within Colleague ensuring accuracy and resolving any issues in collaboration with faculty and Registrars Office.
Track advisor assignments throughout students enrollment.
Document and Records Management
Create and maintain systems for tracking academic milestones forms and programspecific documents.
Work with students Program Chair and Registrar to resolve documentation issues such as LOAs grade changes and add/drop forms.
Annual Student Review Coordination
Plan and manage the logistics for the Annual Student Review of 400 PsyD students.
Coordinate form collection dissemination and data management while maintaining strict FERPA confidentiality.
Manage catering and onsite logistics for the review day.
Accreditation and Data Reporting
Collaborate with the Executive Assistant to Academic Affairs and Business Intelligence Developer to collect data for the Annual Report Online (ARO) and support accreditation processes.
Work with PsyD Leadership on APA site visit preparation and SelfStudy completion.
Communications and Web Management
Manage PsyD program content on Adler Connect to ensure students and faculty have access to current resources and communication.
Ensure all content is accurate timely and userfriendly.
Honor Society (Psi Chi) Coordination
Supervise Psi Chi Honor Society application process.
Collaboration and Leadership
Actively participate as a member of the PsyD Leadership Team Diversity Committee and Core Faculty Search Committee.
Collaborate with Student Finance Student Services and other departments to ensure student services and resources are effectively delivered.
Manage and train the programs Administrative Assistant and Federal Work Study (FWS) student hires on best practices.

Utilize email scheduling tools spreadsheets databases and web applications efficiently.

Work Environment: The usual and customary methods of performing the jobs functions require the following physical demands: some lifting carrying pushing and/or pulling and significant fine finger dexterity. Generally the job requires 80 sitting 10 walking and 10 standing. This job is performed in a generally clean and healthy environment.
