Overview

Do you have a sharp eye for detail and a knack for making routine processes flow seamlessly We need your skills to keep our government records compliant and accessible. Youll dive into our systems managing information to ensure everything is accurately filed and securely maintained. Your work will be essential for smooth operations and for providing quick support when the team needs a hand supporting customers and office administration activities. Its a chance to be the goto person for our operational detail oriented tasks. Youll be working with every member of our small team!

ESSENTIAL JOB FUNCTIONS RESPONSIBILITIES

RECORDS OPERATIONS

You will assist with basic electronic/digital records operations ensuring metadata in the Electronic Document and Records Management System (EDRMS) is accurate through validation checks corrections and quality control. Youll assist analysts with EDRMS design bulk ingests reporting and testing. You will also help manage physical records coordinating destruction pickups performing inventories and quality checks updating locations and suggesting improvements to our records center activities. Preparing physical records for vendor services like microfilming writing technical instructions managing shipping and checking the quality of their finished work will also be part of your job duties. Additionally youll take part in projects transferring historic records to the Archives complete necessary compliance training (like HIPAA and CJIS) and report any potential compliance issues to the County Archivist & Records Officer.

ARCHIVES OPERATIONS

This role involves managing archival data across digital preservation and archival information systems by handling data entry updates verification and quality control. You will ingest digital records check them against origin sources organize them in established collection structures and manage their metadata following the Archivists instructions. Youll also assist with basic processing cataloging and preparing materials for digitization or online public access. Youll also be key in helping manage our space.

CUSTOMER CONTACT AND OFFICE ADMINISTRATION

The Data Technician is involved in maintaining a clean safe work environment using established practices reporting hazards to Facilities Dispatch and suggesting improvements or supplies to the County Archivist & Records Officer. You will support the Records Administration Assistant during absences with customer service handling record transactions like retrievals and returns and managing related database tasks. This includes assisting customers escalating issues when needed providing backup coverage and referring inquiries appropriately to other County agencies and external institutions when necessary. Youll also help coordinate secure site access for staff and vendors ensuring they follow privacy and safety rules. Finally you must stay proficient in essential software (like Google Workspace Adobe) and be able generate metrics in support of program goals and budgeting processes.

To Qualify

We will consider any combination of relevant work experience volunteering education and transferable skills as qualifying unless an item or section is labeled required. Please be clear and specific about how your background is relevant.

Minimum Qualifications/Transferable Skills:

  • Associates degree or training and experience for entry level technical classifications are typically equivalent to an associates degree

  • One 1 year of experience that demonstrates the ability to perform the duties of the position. (Equivalency 2 years of qualifying training and/or experience).

  • CJIS Authorization Employees in the DCA Records Program are subject to backgroundcheck in accordance with the FBIs CJIS Security Policy which is available in full at the following link: understanding of the principles of Records and Archives including concepts like provenance original order authenticity and integrity of records the Records life cycleand essential and permanent records. Basic understanding of the legal and ethical implications of Records and Information Management (RIM) organizationalaccountability and the Code of Ethics for Archivists.

  • Working ability to follow standard practices and procedures for records data entryupload/import and manually transfer data between systems (export/import). Ability tomake decisions within defined parameters with the understanding of the principlesabove and an understanding of when to seek help from more experienced staff.

  • Working knowledge of archival arrangement and description and/or common metadatastandards. Working knowledge of archival information systems records managementsystems and/or transferable knowledge of library or museum systems used to captureand maintain metadata and descriptive information about records including datacleansing and reporting with those systems.

  • Basic knowledge of archival reference service and basic digitization skills such asscanning basic image cleanup and stitching metadata capture.

  • Previous experience in a library archive or records management organization.

Additional Details

Type of Position: This hourly unionrepresented position is eligible for overtime pay.

Work Location: This position works onsite at Yeon Building

Schedule: Monday Friday schedule to be agreed upon between manager and employee

Hybrid Telework: This position is designated as hybrid telework meaning you will be working both remotely (from home) and in person at the Yeon Building location. The designation of Hybrid Telework may be subject to change at a future time. All employees must reside in Oregon or Washington; the county cannot support ongoing telework from other locations. We are not able to sponsor HB1 visas F1 or STEP OPT.
