Job Description

The University of Nevada Reno is recruiting for an Administrative Assistant 3 for the Maintenance Support Services. This position is responsible for leading the daily operations of the Facilities Maintenance Services (FMS) Service Center.

Duties include (but are not limited to):

  • Answer incoming phone calls for emergency and nonemergency issues around campus as well as satellite locations;

  • Communicate outages delays and staffing shortages;

  • Create edit receive and review work order requests submitted by trades and customers through iServiceDesk as well as monitor shared email;

  • Communicate with customers to obtain information and clarification regarding work requests;

  • Provide customers with detailed explanations regarding state local university and departmental policies and procedures;

  • Maintain good customer relations by adhering to the Facilities Services Department (FSD) policies and procedures;

  • Assist with maintenance of information within the Computerized Maintenance Management System (CMMS) program;

  • Create and run reports to monitor departmental Key Performance Indicators (KPI) building manager metrics and work order information;

  • Identify loop closing activities to support customer service and departmental objectives;

  • Perform technician training for iPad;

  • Assist with the creation of training documents for various position types and maintain training documents for various position types;

  • Troubleshoot issues with Office of Information Technology (OIT) and FSD technicians;

  • Assist customers with estimates for trade work and distribute and manage paperwork for invoicing;

  • Manage FMS radio and iPad inventory;

  • Assist customers with questions regarding key exchanges pickups and returns; and

  • Other duties as assigned.

A valid Class C drivers license or higher operators license is required at the time of appointment and as a condition of continuing employment.

Physical Demands

This position requires sitting most of the time but may involve walking or standing for brief periods of time; Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently to lift carry push pull or otherwise move objects including the human body.

This position requires the ability to see hear and communicate through speech.

Preferred Qualifications

Applicants with experience in ticketing or work order systems and/or intermediate to advanced knowledge of Microsoft Excel and Word applications and/or emergency call experience are encouraged to apply.

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 4:30 pm; this is subject to change based on organizational needs.

This position is designated as Essential Personnel. In the event of a campus emergency special event closure to maintain campus safety or building operations this position may be required to work outside of regularly scheduled hours.

Compensation Grade

Grade 27

In classified service salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment the candidates qualifications internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
