Job Summary:
We are seeking a highly organized and strategic Executive Assistant to support the Managing Director (MD) in driving business plan and supporting daytoday operational needs. The ideal candidate will have 4 to 8 years of experience working closely with senior executives managing calendars tracking action items from meetings and contributing to strategic planning and data analysis. The Executive Assistant will be an integral part of the team ensuring smooth and efficient of business objectives while maintaining confidentiality and discretion.
Key Responsibilities:
- Support to Managing Director (MD):
- Provide administrative support to the MD assisting with daytoday tasks calendar management and scheduling meetings.
- Manage the MD s schedule coordinate meetings and ensure the MD is wellprepared for meetings and engagements.
- Business Plan & Followup:
- Drive business plan by coordinating with functional heads and ensuring the completion of action items identified in meetings.
- Monitor and follow up on action items from Minutes of Meetings (MOMs) ensuring timelines are met and issues are resolved.
- Strategic Planning & Data Analysis:
- Support the MD and functional heads with data analysis and reporting to guide strategic planning and decisionmaking.
- Prepare presentations reports and analysis to support business development and operational objectives.
- Project Coordination & Management:
- Coordinate crossfunctional teams and track progress on key projects ensuring that milestones are achieved.
- Prepare project timelines deliverables and status reports for MD review.
- Communication & Liaison:
- Act as a point of contact for internal and external stakeholders managing communication and ensuring that the MD s directives are followed up on.
- Organize and coordinate travel expenses and other logistics for the MD.
- Confidentiality & Documentation:
- Maintain confidentiality and handle sensitive information with the utmost discretion.
- Organize and maintain filing systems ensuring documents are easily accessible and uptodate.
Key Requirements:
- Experience:
- 4 to 8 years of experience as an Executive Assistant particularly working closely with a Managing Director or senior leadership team.
- Experience in driving business plan and managing complex calendars and action items.
- Skills:
- Strong data analysis organizational and project management skills.
- Highly proficient in Microsoft Office (Excel PowerPoint Word) and project management tools.
- Excellent communication skills both written and verbal.
- Strong attention to detail with the ability to handle multiple tasks simultaneously.
- Education:
- Postgraduate degree preferred.
- Prior experience in a corporate setting supporting senior leaders and managing key projects.
