POSITION SUMMARY (Hybrid in office 3 days per week (Waterloo)
The successful candidate will be required to support the organization in the area of Benefits.

Specific Accountabilities

North America

  • North America employee benefit plan related requests via email phone and/or meetings and updates to their coverage
  • Confirm weekly new hires are covered correctly in Workday and with our benefit providers
  • Process Leave of Absence (LOA) requests
  • Assist in our annual Open Enrolment including managing requests or questions from employees as well as connecting with our benefit providers
  • Assist with companywide wellness initiatives. Coordinating wellness sessions onsite fitness programs. Create session registrations tracking attendance drawing the monthly wellness prize winner assisting in scheduling new sessions external and internal
  • Process disability claims while liaison with our provider and our employees while promoting positive employee relationships
  • Wellness Fairs Manage invitation list send out coordination emails booking rooms and coordinating the vendors
  • Assist in organizing Flu Shot & Health Screening Clinics with our thirdparty companies to provide onsite flu shots to employees
  • Other reporting and data audits as required such as overage student audit

Globally:

  • Workplace Options (EAP) invoices headcount report wellness sessions
  • Process day to day Benefits related invoicing for Benefits North America EMEA and APAC
  • Manage prompt delivery of Retirement awards for retiring employees globally. Including connecting with managers on the location of delivery
  • Coordinate monthly headcount report and distribute
  • Assist with the administration of EMEA & APAC Benefits including answering questions via email phone and/or meetings and updates to benefit coverage.
  • Assist with updating internal websites and other benefit material
  • Workday testing to ensure data accuracy and validate system functionality including creating test cases executing tests and documenting findings

Essential skills and qualifications

  • High School College Diploma or University Degree
  • Excellent communication (verbal and written) customer service and interpersonal skills
  • Project management and analytical skills
  • Ability to work concurrently on multiple projects
  • Dedicated team player who demonstrates initiative and independence
  • Ability to effectively communicate with all employees and people of varying cultures
  • Experience in Word Excel PowerPoint is an asset
  • Previous administration experience an asset
