Job Description

Position Summary

At Stony Brook Medicine an Administrative Support Assistant Nursing Professional Development & Education is a valuable member of our team who provides administrative and executive support and has the ability to interface with all levels of management throughout the hospital. Qualified candidates will demonstrate superior communication and organization skills while adhering to our high standard of excellence.

The selected candidate will be expected to work IN PERSON/ON SITE in East Setauket 5 days a week.

Duties of an Administrative Support Assistant for Nursing Professional Development & Education may include but are not limited to the following:

  • Acts are recorder for meeting minutes; manages meeting invites and distribution groups
  • Prepares administrative statistics and reports
  • Maintains records for the Division of Nursing staff
  • Assists with the entry of statistical data
  • Prepares budget purchasing request request for travel and ensures cost analysis for programs are accurate and readily available
  • Maintains the calendar of the department Director
  • Assists in event planning
  • Corresponds with Hospital based educators and managers to maintain work schedules for the Nurse Residents assigned to the transitional pool
  • Responsible for assisting with the planning organizing coordinating and implementing the administrative operations and educational activities for the hospital employees
  • Works independently and is an effective communicator
  • Performs other duties as assigned

Qualifications

Required Qualifications: Associates degree. At least 2 years of relevant experience in an administrative capacity. Computer skills with expertise in Microsoft Office Suite. Must be able to effectively interact and communicate with all departmental heads/supervisors on a house wide basis. Ability to work independently with excellent time management and communication skills. Experience and skill in focusing on details accuracy multitasking and follow through.

Preferred Qualifications: Bachelors degree. Computer skills include experience with Peoplesoft Lotus Notes and/or AtStaff. Past experience in healthcare or HR setting. Proficient in Microsoft Office Suite classroom management software and/or Peoplesoft.

Posting Overview: This position will remain posted until filled or for a maximum of 90 initial review of all applicants will occur two weeks from the posting date.   • This position may require the wearing of respiratory protection which may prohibit the wearing of facial hair.
  • This function/position maybe designated as essential. This means that when the Hospital is faced with an institutional emergency employees in such positions may be required to remain at their work location or to report to work to protect recover and continue operations at Stony Brook Medicine Stony Brook University Hospital and related facilities.

Prior to start datethe selected candidate must meet the following requirements:

  • Successfully complete preemployment physical examination and obtain medical clearance from Stony Brook Medicines Employee Health Services*
  • Complete electronic reference check with a minimum of three 3 professional references.
  • Successfully complete a 4panel drug screen*
  • Meet Regulatory Requirements for pre employment screenings.
  • Provide a copy of any required New York State license(s)/certificate(s).

Failure to comply with any of the above requirements could result in a delayed start date and/or revocation of the employment offer.

*The hiring department will be responsible for any fee incurred for examination.
