The Executive Assistant to the Vice President of External Operations and Dean of Tarleton State Fort Worth will provide executive level administrative assistance through the performance of advanced and complex general office work and scheduling and assumes considerable responsibility for office management. This role will also assist with the coordination of projects and events in support of the Division of External Operations.
Work hours: MonFri; 8:30 AM5:30 PM or as work requirements require nights and weekends. Must have the ability to work remotely at the request of the university in times of inclement weather or other special circumstances.
This position will be located at the Tarleton State Fort Worth Campus on Chisholm Trail in the Office of the Vice President.
Responsibilities:
70 Administrative Support: Provides direct administrative support for the executive leadership of Tarleton State Fort Worth and assists all outreach locations divisionwide as needed.Provides guidance and support for other divisionwide administrative assistants and coordinators with needs as well as policy and data notices agendas and minutes for meetings. Professionally answers and appropriately distributes incoming phone calls and inquiries. Maintains calendars scheduling of appointments/meetings for Vice President/Dean.Schedules and completes travel and necessary reports as required.Serves as representative for I9 processing and onboarding of Tarleton State Fort Worth staff and faculty.Keeps inventory of supplies and ordering as needed for work areas and break proficiently in Workday Emburse Canopy and TexanBuy as required. Manages divisionwide budget accounts. Processes confidential a professional neat and orderly office student employees as warranted.
25 Communication & Project Management: Assists the Vice President and Dean with crafting communications to internal and external motivates coordinates and helps execute university collaborations and community activities with nonprofit and strategic partners as needed. Assists VP/Dean with campuswide project management events and programming to include communications support logistics and follow through.
5 Other: Performs other duties as assigned.
Minimum Requirements:
Education Bachelors degree in applicable field or equivalent combination of education and experience.
Experience Four years of related experience.
Required Knowledge Skills and Abilities:
Excellent problemsolving skills.
Strong interpersonal and communication skills.
Demonstrated planning and organizational skills.
Ability to multitask and work cooperatively with others.
Ability to work independently and proactively.
Attention to detail and follow through skills.
Requires the ability to travel to Tarleton State Fort Worth locations Waco Bryan and Stephenville.
Preferred Experience Knowledge Skills and Abilities:
Vast experience in administrative support for a campus in higher education.
Strong leadership skills with the ability to lead by example and achieve outcomes through influence.
Demonstrate strong communication skills (verbal and written) computer skills and project management. Ability to work evenings and weekends. Bilingual proficient.
Five years of successful experience in foundation relations grantwriting or a related field.
Commensurate with experience
Salary Range
The target base annual salary range is $49000 to $68330.50 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
